Role Overview
The Accounting and Office Assistant of Volante Systems is responsible for assisting managing day-to-day office administration while supporting human resource functions. This role combines strong organizational, communication, and people skills to ensure smooth office operations, compliance with HR best practices, and support for employee engagement and growth. The Office/HR Administrator will work closely with the executive team to align Finance and Accounting initiatives with the company’s overall business objectives.
Key Responsibilities
Accounting
- Enter Vendor bills, ensure Packing Slips and Purchase Orders are matching
- Review expense reports and ensure GL code and job costing are matching
- Receive, process and reconcile Vendor Statements
- Collaborate with Project Managers, Purchasers, Contractors and others to ensure timely item receipts and match processing
- Weekly Inventory reconciliation with Hardware team
- GL reconciliation for AP and Inventory
- Ad-hoc analysis
Office Administration
- Oversee general office operations, including supplies, vendors, and facilities management
- Serve as the main point of contact for office inquiries, contractors, and service providers
- Coordinate company meetings, events, and travel arrangements
- Manage incoming and outgoing correspondence (mail, courier, etc.)
- Implement and maintain office policies and procedures to drive efficiency
Qualifications
- Post-secondary education in Accounting or a related field
- 2–3 years of accounting and office administration experience, preferably in a small to mid-sized Canadian company
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational, multitasking, and problem-solving skills
- Strong interpersonal and communication abilities, with a customer-service mindset
- High degree of discretion and confidentiality
