What you’ll be doing:
- Exercising sound judgment when dealing with extremely sensitive and confidential information
- Assisting in formatting, preparation, and proof-reading of documents
- Maintaining the calendars for the assigned Vice President by scheduling all meetings, engagements, and events
- Responding to correspondence
- Coordinating meetings by booking conference rooms, providing technical support for virtual attendees, arranging refreshments, and preparation and distribution of meeting materials
- Attending meetings, tracking action items, and creating meeting minutes
- Assisting in making travel arrangements, including preparing travel documentation and making reservations for various departments as needed
- Preparing expense claims, reconciling corporate credit cards
- Preparing contracts, agreements, grants
- Working closely with the Executive Assistant to the President/CEO and Board of Directors
- Coordinating Calendars around the Executive team
- Assisting with the design and implementation of office policies and operating procedures
- Assisting with event planning, tours, and speaking engagements
- Providing coverage for other Office Administrators as needed
- Other duties as required
What you bring to the table:
- Post-secondary degree or diploma in Office Administration
- Minimum of 3 years prior experience in an Executive Assistant position to Senior Leadership
- Eligible to work in Canada
- A valid class 5 driver’s license
- Proficiency with Microsoft Office Suite
- Strong work ethic and ability to prioritize tasks
- Good listening and written communication skills
- Able to handle sensitive and confidential information appropriately
- Strong attention to detail
- Ability to work a flexible schedule
