Title: Executive Assistant

Reports to: COO and Leader, People & Culture

Based at: 135 Michael Cowpland Drive, Suite 200 (onsite role)

Why This Role is Exciting

This is not your typical Executive Assistant position.

You’ll serve as a strategic partner to the COO & Leader, People & Culture, helping drive organizational effectiveness, operational excellence, and people initiatives across the company. You’ll have a front-row seat to leadership decision-making and play a key role in shaping how the business operates and grows.

You’ll influence how leadership meetings run, help drive company-wide priorities, support hiring and culture initiatives, and become a trusted connector across the organization.

This is an opportunity to grow beyond administration into a true business operations and leadership support role.

What You’ll Be Doing

Strategic Calendar & Time Management

You’ll optimize the COO’s schedule to ensure time is focused on the highest-value priorities, strategic initiatives, and leadership activities.

  • Proactively manage and prioritize the executive calendar
  • Protect focus time and reduce unnecessary meetings
  • Coordinate impactful internal and external meetings
  • Ensure leadership time aligns with business priorities

Leadership & Meeting Excellence

You’ll help elevate the quality and effectiveness of leadership operations.

  • Prepare agendas, briefing materials, and meeting objectives

  • Ensure meetings drive clear outcomes and accountability

  • Capture key decisions and action items

  • Track follow-through across leadership initiatives

Operational Execution & OKR Coordination

You’ll help translate strategy into action by improving visibility and accountability across teams.

  • Maintain and monitor company and departmental OKRs
  • Support quarterly planning cycles
  • Identify risks, delays, and operational gaps
  • Help keep strategic initiatives on track

Communication & Cross-Functional Coordination

You’ll improve alignment and communication across the organization.

  • Draft internal leadership communications and updates
  • Coordinate across departments to reduce operational friction
  • Manage and deliver the monthly PureTimes newsletter
  • Help create structure, clarity, and consistency across workflows

People & Culture Support

You’ll play an important role in supporting employee experience and talent operations.

  • Coordinate interviews and candidate communications

  • Support onboarding and hiring workflows

  • Assist with engagement initiatives and performance cycles

  • Maintain HR systems and reporting

  • Help support culture-building initiatives and team engagement

What You Bring

We’re looking for someone who is proactive, highly organized, and energized by helping leaders and teams operate at their best.

You likely bring:

  • 3–5 years of experience in executive or administrative support

  • Exceptional organizational and prioritization skills

  • Strong business communication abilities

  • A high level of professionalism, discretion, and judgment

  • Confidence working with senior leadership

  • A systems-thinking mindset with strong attention to detail

  • The ability to manage multiple priorities in a fast-moving environment

  • A natural ability to create structure, improve processes, and drive follow-through
