About the role

Job Summary:

Reporting to the Program Manager and under general supervision of the Nurse Clinician, performs scheduling of patients who are referred to the C.A.R.E. Program Special Services responsible for ensuring that patients are pre-admitted and that documentation has been obtained and completed and provided to the appropriate facilities; assists in the maintenance of program data bases for the C.A.R.E. Program., Special Services Performs various clerical duties such as word processing, photocopying, and mail.

Duties/Accountabilities:

  1. Schedules and pre admits patients to Women's Health Centre for therapeutic abortion procedures by obtaining and documenting patient identifying information from physicians’ offices and pre-admits patient.

  2. Liaises with Provider Physician's offices to ensure the appropriate documentation is provided.

  3. Prepares, maintains and files health records of patients we have received care though C.A.R.E. Program Special Services.

  4. Answers inquiries from the public concerning admission policies, fee structures and information about the C.A.R.E. Program, Special Services.

  5. Maintains a system for ordering patient educational brochures, pamphlets, books and/or videos for WHC Programs by orders and storing materials, and by consulting with WHC staff regarding updates and corrections to patient education materials.

  6. Performs filing, typing and telephone duties as required.

  7. Receives appointment cancellations and follow-up as necessary with appropriate parties. Books interpreters as requested.

  8. Assists with collection of data for CARE Program Special Services and participates with other members of Care Program Team in Quality Assurance process. Maintains daily security log by documenting all incoming appointments, staff and phone calls.

  9. Ensures maintenance of a sufficient stock of supplies. Order office supplies and process orders in collaboration with the CARE Program Clerk V.

  10. Performs other related duties as required.

Qualifications:

Education, Training and Experience

  • Completion of Grade 12 and three year’s recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard 45 w.p.m.
  • Knowledge of medical terminology
  • Ability to communicate effectively, both verbally and in writing
  • Ability to deal with others effectively
  • Physical ability to carry out the duties of the position
  • Ability to supervise
  • Ability to organize work
  • Ability to operate related equipment
