Position Description
Are you an organized and focused problem-solver who wants to be a part of the administrative backbone of a world-class institution dedicated to improving the lives of children?
We are looking for a research Administrative Assistant to join the Molecular Medicine Program at the SickKids Research Institute and provide high level support to research scientists and their team members. This will be someone who is responsible, organized, independent, and has excellent time management skills. In this position, you will be able to showcase your skills in office administration and communication.
The Job Involves:
- Work with all departments in the Research Institute to support the portfolio demands of scientists and their labs
- Manage all administrative tasks (i.e. calendar management, finance, HR, payroll, etc.) that support the scientist(s) and their research/academic portfolios, while providing support to trainees and staff as needed
- Liaise with Human Resources, Occupational Health, and Finance as required in the administrative lifecycle of employees. Follow up with departments and employees to make certain all requirements are fulfilled
- Organize logistics related to in-person and virtual meetings, conferences, and events including venue, catering, technology, travel, and general organization
- Assist with HR functions such as job postings, hiring, payroll processes and change requests.
- Monitor and analyze grant funding through multiple cost centres
- Act as a liaison between the scientist and their finance partner for all financial matters.
- Assist scientists with the preparation and submission of scientific documents and publications.
- Providing support and itineraries for meetings, conferences and travel
- Arrange meeting rooms, catering, audiovisual and equipment services for meetings, events, or lectures
- Reconcile monthly financial reports and credit card statements.
- Complete necessary Accounts Payable processing for travel, hospitality and general invoicing
- Maintain Canadian Common CV.
- Calendar management and meeting organization
- Website management
- Oversee orders for research supplies/materials
- Support to the Program Manager with Program activities and strategic initiatives as assigned by the Program Manager
Here's What You'll Need:
- Completion of post-secondary degree/diploma. BSc degrees are considered an asset.
- Several years of administrative experience.
- Excellent interpersonal, oral, and written skills.
- Strong understanding of basic financial accounting.
- Knowledge and proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint; expertise in Adobe Professional Creative suite and Photoshop considered an asset).
- Experience in scientific research/university-based environments and familiarity with grant processes considered a strong asset.
- Demonstrated ability to handle multiple tasks and prioritize work in an efficient and organized manner.
- Ability to work both independently and as a team member.
- A commitment to understanding and aiding in the pursuit of equity, diversity and inclusion objectives.
