About the role

Financial Services provides all accounting services for the University. Within the department Student Financial Services serves as the first student tuition centric point of contact for Undergrad and Graduate students and their parents, staff, faculty and corporate sponsoring agencies.

ThePayments Processing Coordinator is a full-time continuingrole responsible for verifying payment amounts entered into point-of-sale and financial systems, investigating and resolving discrepancies, and providing clear documentation and explanations to management. They also prepares cash and cheque deposits for secure bank pickup, and additional support for Financial Services.

Responsibilities:

  • Coordinates with university departments to ensure cashier sessions and general deposits (electronic and hard copy) are submitted accurately and on time; follows up on errors, omissions, or non-compliance.
  • Ensure deposit procedures comply with university policies and provide guidance and training to departments as required.
  • Coordinate the secure pickup and delivery of cash, cheques, and deposit documentation, including verification of required supporting backup
  • Manage armored truck pickup schedules and maintain related logbooks.
  • Use RBC Royal Bank online banking and ChequePro for Business to review account activity, verify and analyze deposits, upload cheques electronically, generate reports, and retain cheque images for audit purposes.
  • Recommend improvements to procedures.
  • Assign and track reference numbers through spreadsheets and the NAV Financial System to support audit trails.
  • Respond to internal and external audit requests by providing supporting documentation and explanations.
  • Maintain and update position-specific documentation, including training materials, process guides, task lists, and month-end checklists.
  • Ordering supplies as required.
  • Access multiple systems daily and review payment transactions.
  • Analyze data from Colleague using Microsoft Excel to prepare consolidated deposits across all academic units, identifying and resolving variances.
  • Maintains complex Excel spreadsheets and formulas to reconcile all deposit transactions.
  • Investigate and resolve discrepancies, ensuring issues are documented.
  • Notify team members of required corrections to student accounts.
  • Ensures all supporting documentation for deposit sessions are complete, accurate, and stored electronically.
  • Compiles required documentation, to support the chargeback adjustments.
  • Assist with student credit transfers to current term(s).
  • Assist with student statement mailouts and delinquent account follow-up.
  • Review general deposit forms for accuracy and completeness.
  • Records and balances departmental payments in the General Receipts Log.
  • Prepare and attach documentation for deposits prior to posting to the General Ledger.
  • Prepare monthly journal entries with appropriate supporting documentation.
  • Review journal entries for accuracy.
  • Use ChequePro scanners to upload cheques to RBC Royal Bank and desktop scanners to digitize deposits and supporting documentation.
  • Maintain scanner software and drivers; troubleshoot issues and liaise with support as required.
  • Administer and reconcile daily cash float and issue change across the university.
  • Manage special cash floats for events.
  • Coordinate secure storage, retention, and disposal of records in accordance with Financial Services requirements.
  • Assist and cross-train with other Financial Services areas as required.

Qualifications:

  • High School Diploma.
  • Post-Secondary diploma/degree with a focus on business administration.
  • 2+ years of similar work in an office environment.
  • 2+ years of cash handling experience.
  • Proficient with Excel, Outlook, and other Microsoft 365 applications.
  • Experience with Colleague (Student Information System) and Crystal Reports considered an asset.
  • Effective oral and written communication skills.
  • Ability to work independently and also in a team environment.
  • Ability to act independently to make decisions, analyse an issue, and utilize problem-solving.
  • Ability to work on tight deadlines, and able to organize and prioritize work
  • Must be able to deal tactfully with students, parents, staff, etc. to present a positive image of The University of Winnipeg
  • Proficient working with Desktop and Bank Scanners (uploading information / updating drivers, etc.)

An equivalent combination of education, experience, skills, knowledge and abilities may be considered.

Condition(s) of Employment:

  • Must be legally entitled to work in Canada.

The salary range for this position will be from $43,552.60 to $60,114.60 annually.

**Note:**The work described in this posting will be conducted in-person, with an opportunity to apply for Remote Work for up to two (2) days per week.
