About the role

Scope of Position:

The Function Coordinator/Custodian is responsible for the day to day operations and janitorial duties for the Community Centre. Incumbent is required to work weekends, late evenings during and after special events, as well as, flexible hours to cover daytime meetings and use. The actual hours of work vary from one week to another depending upon the number of events, meetings scheduled and the scope of the event.

Position Description:

  • Ordering and purchasing of supplies/materials and completion of purchasing reconciliation, complete work orders as required, document incidents and report to Supervisor.
  • Arranges for the facility to be opened for prospective renters to view.
  • Handling enquiries from rental contract holders, showing the facility to customers, caterers, and advising renters of available services, rules and regulations, etc.
  • Act as liaison/main point of contact with contract holders.
  • Ensure events/activities taking place in hall are operated in accordance with applicable rules, regulations, legislation and Norfolk County policies and procedures.
  • Responsible for opening, closing and securing facility before, during and after events.
  • Responsible for the necessary cleaning, setup and takedown of tables and chairs required for facility events including coordinating access for hall decorators, caterers, musicians and other event requirements.
  • Responsible for cleaning of the community centre including washrooms, main hall, meeting rooms, kitchen, storage areas and all equipment.
  • Weekend events are often “back to back” and require immediate janitorial and set up/takedown after each event.
  • Responsible for keeping up-to-date with the booking schedule and creating their own workplans to ensure all cleaning and setups are complete between all bookings/events.
  • Direct potential renters to the Facility Bookings Clerk to secure a booking.
  • Work closely with Facility Booking Clerk and other Customer Service Personnel to ensure the needs of the renter are met and contract obligations are upheld.
  • Ensures the Community Centre is in a safe and attractive condition to accommodate the user group or individual user.
  • Perform other duties as assigned.

Requirements

Knowledge and Experience:

  • Minimum of 2 years related experience working with the public individually or in a group setting.
  • Past experience and general knowledge in janitorial and building maintenance is preferred.
  • Capability of working with computers and software related to facility booking.

Skills and Abilities:

  • Must be highly self-motivated, dependable, physically capable to perform the duties required, able to work flexible hours and possess excellent communication skills.
  • Must be aware of safe work practices as they relate to job responsibilities and work environment, and have the basic understanding of the Occupational Health and Safety Act.
