Posting 26-22 Associate Project Manager Organizational Change Unit, Office of the Registrar Department Permanent position, category 9 - Hiring Range: $81,106 to $87,344

The purpose of a project manager's job is to oversee and coordinate all aspects of a project from inception to completion. The project manager ensures that the project objectives align with the organization's strategic or operational goals, and that resources are utilized efficiently. Additionally, they manage expectations from individuals and groups internal and external to the organization, mitigate risks, and ensure timely delivery within budget constraints, or secures prior approval for changes to initial thresholds.
Responsibilities Project Planning and Execution
- Develop comprehensive project plans that outline the scope, objectives, timelines, and resources required.
- Coordinate and implement strategies to ensure executional synergy across multiple projects, ensuring applicable requirements are met cost-effectively and on time.
- Develop and maintain accurate documentation in project management tools.
- Monitor and control project scope, budget, and schedule, tracking progress and quality of work related to project outcomes.
- Conduct project walkthroughs, provide consultation, and lead meetings with internal and external interest holders to manage objectives, expectations, and course correct as needed.
- Provide mentorship to College staff as they execute fundamental project management tasks.
- Perform administrative tasks to support efficient and effective department operations.
- Participate in supporting in cross-departmental projects as assigned.
- Support senior leaders by providing data to hold units and departments accountable to KPI’s and operational metrics, ensuring values outside set thresholds are appropriately flagged, explained with remediation proposals recorded.
Project Team Collaboration and/or Interested Group Management
- Engage with internal and external individuals and groups to understand their needs and expectations.
- Maintain effective communication and manage relationships to ensure project alignment with organizational goals.
- Lead and motivate project teams, fostering a collaborative environment.
- Ensure that team members are clear on their roles and responsibilities and that they have the support needed to achieve project objectives.
Project Risk Management
- Identify potential risks and develop mitigation strategies to minimize their impact on project outcomes.
- Monitor and manage risks throughout the project lifecycle.
Project Performance Tracking and Reporting
- Establish project and portfolio performance metrics and track progress against these metrics.
- Provide regular updates and reports to senior management to inform decision-making and guide strategic direction.
Qualifications, Skills And Experience

Completion of a post-secondary diploma or degree in a business-related field
-
Minimum of 3 years’ related experience in coordinating or managing projects, with at least two projects delivered in a field(s) outside of Information Technology

The following are considered assets for this role:

Project Management courses at College or University level would suffice
-
Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification, or working towards same

Experience working in a regulatory environment

Knowledge of Project Management fundamentals to create and execute project plans
-
Analytical and problem-solving abilities to manage risks and troubleshoot issues as they arise
-
Time management, prioritization, and organizational skills to simultaneously manage milestones across multiple low to medium complexity projects
-
Communication skills - oral and written – to manage minutes, emails, meetings, and leadership/interest holder/vendor relationships
-
Group facilitation skills to guide teams in achieving project objectives

MS PowerPoint skills to develop presentations for internal and external audiences

MS Excel skills to collate, analyze and report on project or performance findings
-
MS Word skills to create project documents and draft communiques

Experience in Planview and/or MS Project is an asset
