Job Purpose The Enrollment Coordinator plays a key role in enhancing the College’s exceptional student experience. This position will support the Enrollment Manager, Program Managers, and Admissions Advisors in ensuring smooth operations across Admissions, Academics, Compliance, and program delivery.

Main Duties And Responsibilities Admissions & Enrollment (DTC Students):

  • Manage the full admissions and enrollment cycle for all DTC students in Halifax.
  • Collaborate with the Admissions Advisors to ensure applicants receive all necessary information to complete admissions requirements.
  • Collect required documentation and application payments, schedule and conduct interviews, issue Letters of Acceptance (LOA), and follow up on post-LOA requirements to confirm seats.
  • Maintain accurate student records and ensure data integrity across all systems.
  • Respond to student inquiries promptly—ideally by the end of the day, and within 24 hours at the latest.

Finance And Academic Operations Support

  • Prepare payment plan documents for new students, send reminders, and ensure timely payments.
  • Counsel students on payment options and consequences, and initiate dismissals when necessary for non-payment.
  • Support new student intakes by preparing required paperwork, Moodle accounts, Student ID cards, and uploading documentation.
  • Maintain accurate student records, including attendance, grades, and coursework submissions.
  • Assist with class and instructor scheduling in alignment with enrollment and budget requirements.
  • Ensure instructional resources, materials, and supplies are maintained and updated as needed.
  • Monitor students’ progress in placement settings and provide administrative support as required.
  • Build and sustain professional relationships with students, colleagues, and community partners.

Student Support

  • Ensure students from diverse ethnic and language backgrounds are welcomed and supported.
  • Contribute to a healthy, secure, and safe learning environment both in the college and during placements.
  • Respond to student inquiries in person, by phone, or via email in a timely and professional manner, providing accurate information or referring them to the appropriate staff member when necessary.
  • Provide administrative support to students by preparing and issuing official documents such as enrolment letters, and academic transcripts.
  • Offer guidance and support to students navigating academic and administrative processes, helping them understand policies, deadlines, and program requirements.
  • Assist with the successful execution of student orientations and graduations.
  • Carry out other duties as assigned by line management.

Person Specification Skills

  • Strong communication skills to effectively engage with a variety of stakeholders.
  • Excellent problem-solving and customer service abilities to address student inquiries promptly.
  • Strong organizational and time management skills, with the ability to manage multiple priorities.
  • Familiarity with student management systems and Microsoft Office.
  • Awareness of industry trends and best practices to enhance the student experience.

Qualifications

  • Significant work experience in a similar role or environment
  • Proficiency in English
  • Certificate in Business Administration or a related field (Preferred)
