The British Columbia Teachers' Federation (BCTF), located on the unceded ancestral territories of the xʷməθkʷəy̓əm, Səlil̓w̓ətaɬ/Selilwitulh, and Sḵwx̱wú7mesh Nations since 1917, is a union of professionals representing over 52,000 kindergarten to grade 12 public school teachers throughout the province of BC.

The BCTF office building is situated in close proximity to the Canada Line and other major transit routes in a central Vancouver location. This is an in-person position based out of 550 West 6th Avenue, in Vancouver.

Function and Purpose

The Member Records Department (MR) manages a robust membership system that supports members, locals, and BCTF departments by maintaining an accurate and secure membership database, providing voting membership counts, delegate eligibility, and membership analysis.

The Senior Member Records and Fees Analyst leads member support operations relating to the MR Help Desk. The position collaborates closely with the Manager of Member Data to provide recommendations on the adoption of member data industry best practices and the development of MR specific operational processes, procedures, and related technology.

Principal Duties and Responsibilities

  • Oversees member support operations relating to MR Help Desk function.

  • Oversees and guides the Member Records and Fees Analysts to ensure efficiency of the Help Desk operations.

  • Creates and updates MR member support knowledge-based documentation.

  • Provides support to MR staff to ensure the timely processing of membership requests.

  • Identifies potential support data and service workflow improvements and serves as a technical resource for the MR team.

  • Maintains MR member support procedures and standards.

  • Oversees sign-up form processing and administration of member records, dues, and fees in the BCTF membership database.

  • Oversees BCTF member census related activities.

  • Maintains and updates BCTF member census project plan.

  • Acts as the subject matter expert for sign-up form processing and member dues and fees posting.

  • Provides support to Member Records and Fees Analysts to ensure that BCTF policies and department procedures are followed.

  • Liaises with district staff and local officers to ensure compliance with Federation membership and fee recording and remittance requirements.

  • Collaborates with the Accounting Department and Treasurer’s Office to disseminate all fees and levies received from school districts.

  • Collaborates with the Manager of Member Data in the development and implementation of departmental policies and procedures.

  • Co-ordinates the administration of all categories of membership sign-up forms, dues, and fees information from members, school districts, locals, and BCTF departments.

  • Assists in the maintenance and development of effective control systems to ensure that the dissemination of the BCTF membership database information is made only within Federation policies and procedures.

  • Provides recommendations and support of releasing MR guides for members, school districts, and locals.

  • Collaborates with the Senior Data Analyst and IT staff to support MR member data inquiry, processing, and reporting.

  • Onboards and trains new MR staff in member support workflows and data management to ensure readiness and adherence to departmental standards.

  • Provides backup to other MR staff as required.

  • Other duties as assigned.

Required experience

This position requires five (5) years directly related experience in the member management service industry demonstrating the following:

  • Five (5) years of experience managing member records in a Customer Relationship Management (CRM) system.
  • Five (5) years of experience providing customer support in an Information Technology Infrastructure Library (ITIL)-based (also known as Help Desk) environment.
  • One (1) year of experience providing instruction and training to colleagues.

Required education/training

A bachelor’s degree in Management Information Systems (MIS), Information Science, Information Management, Commerce, or Business Administration.
