About the Role Under the supervision of the Archivist/Supervisor, Lambton County Archives, the Archives Assistant supports office and front-end responsibilities including visitor services, accounting support, assisting with organizing the collection, and providing genealogical and local history research and guidance to the public.

Job Duties and Responsibilities Retail & Visitor Services:

  • Greet public, process admission payments.

  • Oversee retail components, including inventory tracking and ordering, merchandising and security.

  • Utilize Point of Sale system, perform daily cash out procedures and financial management, including the preparation of weekly deposits.

  • Gather visitor statistics.

  • Act as point person for all issues regarding front-end services, take steps to correct problems and use good judgement to communicate issues to supervisor.

  • Listen to personal genealogical accounts and/or research requests to determine how best to assist the patron.

Administrative Support:

  • Receptionist duties such as answering telephone calls, greeting patrons; directing calls or people, and taking payments.

  • General accounting support including the creation of PO's, receiving of goods, preparation of accounts payable.

  • Place orders for office and building supplies as requested.

  • Financial tracking and reporting as required.

Collection/Research Duties:

  • Research local history and/or genealogy as requested by patrons using census, vital statistics, land, municipal records and other genealogical and local history records.

  • Prepare the research, provide explanations and respond to the patron.

  • Catalog new materials and maintain/preserve documents and materials.

  • Shelve and repair materials as needed.

  • Preserve all archival materials using conservation techniques as directed by the Archivist/Supervisor.

  • Prepare request for interlibrary loans.

  • Assist with research by directing patrons to specific records, teaching how to use records, and providing detailed instructions on how to use equipment.

  • Support content development for social media and/or publications.

  • Support program development and delivery as directed by Archivist/Supervisor.

General:

  • Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed

  • Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis

What We Are Looking For Minimum Formal Education

  • Completion of two-year community college diploma in Library Archives/Technician

Experience

  • Six months of on-the-job experience to become familiar with County processes and procedures relating to this position and ability to multi-task.

  • Demonstrated experience in historical and/or genealogical research and knowledge of local history.
