Job Title: Executive Administrative Assistant
Location: Vancouver (Onsite – 1067 W Cordova St, Suite 1700) Duration: 1-Month Contract (High possibility of extension)
About the Role
We are seeking a highly organized and proactive Executive Administrative Assistant to support senior leadership in a fast-paced, globally matrixed environment. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities while working independently with minimal supervision.
Key Responsibilities
Manage and maintain executive calendars, schedules, and priorities Review and analyze incoming communications, reports, and memos to determine importance and ensure proper distribution Handle incoming correspondence (emails, faxes, documents) and maintain organized filing systems Coordinate and prepare materials for meetings, including agendas and presentations Arrange domestic and international travel, including expense reporting via Concur Attend meetings, record, transcribe, and distribute minutes Conduct research, compile data, and prepare reports for executive leadership Act as a point of contact for internal teams, clients, and stakeholders Support office operations including supply management, record keeping, and basic bookkeeping Assist in preparing invoices, financial reports, and other business documents Establish and maintain administrative procedures and improve workflows where needed Provide coordination support for committees, boards, and executive-level meetings
Required Qualifications
7+ years of administrative experience in a complex, global organization Proven experience supporting C-level executives Strong expertise in calendar management and executive coordination Hands-on experience with Concur Travel & Expense system Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent written and verbal communication skills Strong attention to detail, accuracy, and organizational skills Ability to work independently in a fast-paced, deadline-driven environment High level of professionalism and discretion
Preferred Qualifications
College degree preferred (High School Diploma required) Experience managing international travel and large-scale meeting coordination
Technical Skills (Must Have)
Calendar Management Concur Travel & Expense Microsoft Office Suite Travel coordination & expense management Client interaction and stakeholder management
