About the role

Position Title: Office Administrator
Location: Welland, Ontario
Reports To: Area Human Resource Manager

Position Summary
The Office Administrator is the central point of coordination for all administrative and clerical functions at Stay-at-Home Nursing’s Welland location. This role ensures smooth day-to-day operations by providing administrative support to management, scheduling teams, and caregivers, while delivering exceptional customer service to clients and visitors.

Key Responsibilities

Administrative & Clerical Support

  • Manage incoming calls, emails, and in-person inquiries, directing them appropriately.
  • Maintain organized filing systems (electronic and paper).
  • Prepare and process documents, correspondence, and reports as required.
  • Order and manage office supplies and equipment.

Scheduling & Coordination

  • Support scheduling staff in updating and maintaining caregiver schedules.
  • Assist in coordinating appointments, meetings, and training sessions.
  • Track and follow up on shift changes, cancellations, and coverage needs.

Client & Caregiver Support

  • Greet visitors and clients in a professional and welcoming manner.
  • Assist in onboarding new caregivers by preparing documentation packages.
  • Maintain accurate and confidential client and employee records.

Compliance & Quality Assurance

  • Ensure all administrative practices comply with company policies and regulatory requirements.
  • Support quality assurance initiatives by tracking required documentation, training, and certifications.

Qualifications

  • Post-secondary education in office administration or related field preferred.
  • Minimum 2 years of administrative experience, preferably in healthcare or home care.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
