Commercial Administration Officer
DUCA is looking for a Commercial Administration Officer to join our growing team!
The Commercial Administration Officer is responsible for various functions and duties related to the back-office processes that encompass payment processing, annual reviews, repayments, property insurance monitoring, as well as supporting projects and new initiatives. The risk associated with the size and complex nature of our mortgage portfolio demands a high degree of precision and efficiency on the servicing functions of this group. The Commercial Credit Operations group is focused on being a high performing team through continuous improvement and delivery of value to our Members.
Key Accountabilities & Duties
- Process Business Banking Acknowledgments, Commercial Annual Reviews, and covenant breach/non-tolerance letters
- Process loan documentation and fulfill conditions precedent requirements for Renewals, and Extensions for Business Banking and Commercial Lending Team
- Maintain monthly insurance expiry report, collect past due insurance polices by contacting brokers and follow-up with cancellation policies until insurance is satisfactory and up-to date
- Conduct sub-searches, purviews, corporate profile searches
- Manage Personal Property Security Act (PPSA) Report and register PPSA renewals
- Liaise and maintain positive relations with borrowers, lenders, brokers, insurers, external vendors, and other departments for any information requests
- Maintain and develop controls to ensure the integrity of the mortgage loan system and the accuracy of information
- Assist when required to calculate Canadian Small Business Financing Act (CSBFA) quarterly administration fees and yearly reconciliation reporting to Revenue Canada
- Prepare payouts and discharge documentation, administer partial principal reductions and release of loan security for review
- Prepare paid out files for shipment to Iron Mountain
- Support various projects to organize credit and banking system
- Support Commercial Operations Team with various reporting when required
Occupational Experience & Education Requirements
- 1-2 years’ experience in mortgage administration, preferred
- Post-secondary education in a related field (Business administration, Finances, etc.) considered an asset
- Intermediate experience with Outlook, Excel and Word
- Familiarity with commercial/residential mortgage loan documents considered an asset
- Experience in Financial Services, specifically the Credit Union system, considered an asset
Knowledge, Skills & Attributes
- Ability to handle multiple competing priorities
- Good time management skills with aability to meet tight deadlines
- Strong commitment to high level of customer service
- Good organizational skills with attention to detail
- Ability to work in a team environment
- Knowledge of mortgage-backed securities would be an asset
- Ability to prioritize and organize workload to meet stringent turnaround times as necessary

Salary: The annual salary range for this position starts at $40,634. Actual annual base salaries will vary depending on relevant job-related factors such as experience, knowledge, skills, qualifications, and education/training. Depending on the position, DUCA’s total compensation package may include incentive compensation tied to company and individual performance or other benefits.
