RESPONSIBILITIES

  • Create, maintain and update all internal documentation templates (mandates, listing agreements, offers to lease/offer to purchase, NDAs, etc.)
  • Provide risk assessment and analysis of terms and clauses, identify potential issues.
  • Coordinate and carry out building tours with potential purchasers, tenants, contractors, lenders, etc.
  • Create, review, and/or prepare market surveys, tour books, and presentations
  • Assist in deal-making process as required: draft/edit offers lease and other deal documentation; track offers in progress and follow through on execution; coordinate flow of documentation and information between company and clients
  • Manage the internal tour tracking system and ensure all properties are uploaded into JLL Canada’s CRMs.
  • Attend and participate in weekly meetings and monthly office meetings as required.
  • Coordinate and complete prospect reports for the team to send to clients regularly, as required.
  • Aid the team in winning new business through the preparation and coordination of team pitches, presentations and detailed proposals.
  • Assist in the coordination of team open houses of listings and actively participate in them (set-up, broker tours, take-down).
  • Work with Marketing Coordinator to ensure brochures and marketing material is accurate and updated.
  • Manage all property marketing activities such as using social media channels like LinkedIn to promote listings, and update listings on MLSs to market properties online.
  • Manage the coordination of signage needs for the team (creative, production, vendor management, tracking etc.)
  • Perform SAR & Dealio related tasks (e.g. prepare report updates; enter database entries; create/prepare, review, or maintain cheque registers; ensure accurate and timely invoicing; follow up with stakeholders as required; etc.)
  • Assist with lease transactions with high level of proficiency and knowledge ensuring seamless communication, consistent follow up and reporting and timely execution
  • Possess knowledge of properties listed by the team to effectively field inquiry calls and answer questions as needed.
  • Review drafted outgoing offers to lease and offers to purchase agreements from internal team members and advise on commercial terms.
  • Ability to track and meet strict deadlines on all documentation and deals including tracking of key condition dates, commencement and closing dates on all transactions.
  • Coordinate and carry out due diligence delivery, review and advisement with clients on purchases.
  • Assist clients in managing new development and improvement projects through outlining and managing stakeholder and project objectives, pro-formas, client expectations, client reporting and deadline schedules.
  • Manage and be the primary point of contact on Industrial projects on behalf of clients including prospect reporting, budgeting, construction and demolition guidance, due diligence management, tours and lease/sale contract negotiations.
  • If applicable, manage closing dates on sale transactions and ensure associated legal counsel has all required documentation and deposit monies to meet closing dates.
  • Coordinate quotes and provide recommendations on trade contracts, third-party site assessment reports and feasibility studies/investigations.
  • Communicate as needed on behalf of clients with lenders on financing requirements and provide required due diligence on transactions.
  • Liaise with municipal planning/development representatives to assist clients in obtaining encroachment agreements, occupancy, development change of use and other permits as required.
  • Coordinate and carry out environmental site visits, RPR’s building condition assessments and other third-party investigations on behalf of clients and review/advise on the conclusive reports.
  • Work directly with clients and team members to resolve financial model, transaction and landlord issues
  • Attend regular conference calls and prepare meeting agendas
  • Develop, implement, streamline and improve client and JLL processes underlying flawless transaction execution
  • Participate in opportunities to develop new busines with Senior Team Members and other key stakeholders
  • Occasionally performing financial analyses (e.g., headquarters, master plans, etc.) with supervision
  • Manage special projects as assigned by your direct supervisor.
  • Liaise between organizational and corporate teams including clients, brokers, legal, asset management, architectural and construction contractors during active contract negotiations.
  • Work with the Chief Counsel for negotiations with respect to JLL contracts and only use approved templates.
  • Attend all required client appreciation events and assist in the planning and execution of the events as needed.
  • Such other work-related requests from time to time by your supervisor acting reasonably.
