What this job involves: JLL is seeking a dynamic and customer-oriented individual to join our Property Management Team at one of our client's downtown commercial portfolio. As a vital member of our team, you will serve as the primary point of contact for clients and tenants, making a lasting impression as the "face" of our property.
In this role, you will play a crucial part in ensuring the smooth operation of our buildings by efficiently handling tenant inquiries and providing exceptional administrative support. We will rely on your level-headedness and professional demeanor to handle sensitive and urgent requests.

What your day-to-day will look like:
- Answer incoming inquiries via email, calls, and in person, directing them to appropriate parties for optimal service.
- Provide general administrative and reception support for Property Management and Building Operations team.
- Assist with scheduling, resource bookings, tenant maintenance requests, correspondence, and managing confidential information.
- Perform clerical/administrative tasks as assigned, including mail collection and distribution.
- Maintain cleanliness of office common areas and order office supplies.
- Coordinate supplies and uniforms for Building Operations team, ensuring accounts are up to date and uniforms are tagged appropriately.
- Address vendor payment inquiries.
- Process invoices for assigned building, including matching purchase orders, coding invoices comply with budget schedules and compiling and verifying batches submitted accounting.
- Assist with accounts receivables when required.
Required Qualifications:
- 2+ years of experience in an property administration role
- Proficient computer skills. Microsoft Office – Outlook, Word, Excel, PowerPoint.
- Excellent customer service skills with ability to deal with tenant needs through both written and verbal communication
- Proven organizational and time management skills; able to cope with changing tenant needs and deliver successful results within agreed upon time frames
Preferred Qualifications:
- Relevant post secondary education preferred
