Role Description QuadReal is currently seeking a dynamic individual for the role of Coordinator, Capital Projects to provide dependable, timely, and professional support to the capital management and operations teams within the downtown Toronto and Greater Toronto Area office portfolio. This position will be responsible for managing capital projects and providing supervision for tenant in-suite renovations. The position entails working with a diverse group of internal and external stakeholders to assist our clients with the successful delivery of in-suite projects. The successful candidate will possess strong problem solving, communication, and organizational skills and will require experience in construction project management working with Office assets knowledgeable of the Ontario building Code, permit and construction safety requirements.

Responsibilities

  • Ensure excellent relations through personal contact and excellent customer service.
  • Work with all parties to establish budgets and assist with cost-benefit analysis.
  • Coordinate requests for proposals and secure design consultants.
  • Coordinate with designers & consultants to ensure drawings, specifications, and contract documents are prepared on time and on budget.
  • Work with a consultant team to secure permits, municipal approval and entitlements.
  • Assist with preparation, issuance and formal closings of tenders.
  • Ability to analyze tenders and make recommendations to internal and external clients.
  • Act as the Owner representative and ensure their best interests are always maintained.
  • Represent the Owner for general contract administration for projects.
  • Attend all construction and site meetings for assigned projects.
  • Manage consultants and contractors to ensure each project is completed on time, within budget and according to established specifications.
  • Alert internal clients of all issues impacting quality, timing and cost of assigned projects.
  • Sign off on all payables for capital projects and ensure payments of obligations are met.
  • Track all budgets, costs to complete, cost variances and provide updates to internal and external clients as required.
  • Provide monthly project reports including cost reporting.
  • Obtain close-out documentation for all projects including turnover of newly developed asset to PropertyManagement group.
  • Manage project completion process, including turnover, budget reconciliation and closeout.
  • When a tenant is commencing with improvement work, review and approve tenant design documentation, attend tenant site meetings and general supervision of tenant construction.
  • When landlord is commencing with tenant improvement work, responsibility to coordinate entire process of tenant fit-out of newly developed space is required.
  • Make recommendations for the continuous improvement of policies and procedures. Other duties as required and assigned from time to time.
  • Assist in invoicing supervision fees as outlined in lease.
  • Assist in the maintenance and creation of project tracking documentation.
  • Generate periodic and consolidated project reports and forecasts.
  • Required to manage multiple projects simultaneously at multiple sites.

Experience And Qualifications

  • Minimum 4-5 years of commercial project management, property management, and/or construction management expertise.
  • Post-secondary degree or diploma in business administration, project management and/or related work experience. In addition, a high level of design and construction knowledge as well as industry knowledge is required. Relationship/Leadership Skills
  • Able to communicate effectively and professionally, both oral and written; able to develop and sustain cooperative working relationships with senior management, contractors, tenants and the public; able to partner with clients to meet client needs; self-motivated, professional and flexible; able to motivate, empower and coach/counsel staff in the achievement of performance goals.
  • Able to allocate one's time effectively, work under pressure and manage tight deadlines; able to handle multiple demands and competing priorities, adapt to new ideas and constant changes; able to cope with changing client needs and deliver successful results within agreed upon timeframes; very detail oriented.
  • Able to resolve problems using facts and sound reasoning; able to achieve goals using a strategic approach; proven innovation with a willingness to manage and adapt to change.
  • Advanced knowledge of Microsoft Word, Excel, Power Point and Adobe Acrobat Pro
  • Working knowledge of Yardi, Microsoft Access and Share Point is an asset.
  • This position may require the ability to travel regionally for 2 to 4 days per month. Proponents should have flexibility to meet this potential demand.
