Administrative Support Clerk, Engineering and Public Works

Posting Date: Wednesday, October 22, 2025

Starting Rate: $25.05 hourly

Salary Range: $25.05 - $27.48 hourly

Hours of Work: 35 hours per week

Classification: CUPE Inside Class 4

Status: Temporary full-time

The Opportunity:
The Administrative Support Clerk, EPW will be responsible for providing office administration and secretarial

support services to the Engineering and Public Works Department.

What you will do:
• Provide front line public interface for department, respond to telephone enquiries, provide customer service

and assistance on departmental procedures.

  • Provide document management for department. Receive, record, scan and distribute mail, facsimile and

electronic transmissions to appropriate staff. Maintain electronic and hard copy filing system, including

technical filing, engineering library and reports and document retrieval. Maintain general EPW

Administrative SOP’s and Municipal 511 program.

  • Provide administrative support to departmental staff including but not limited to preparing correspondence,

gathering statistics and information, scheduling resources, maintaining, and distributing contact lists,

compiling waste management and lagoon use data, maintaining departmental information on the District’s

website, and maintaining the IssueTrak user database.

  • Distribute tender documents and permits, collect associated fees, issue receipts, prepare and maintain

associated database.

  • Prepare and maintain records of Certificates of Approval, Permits to Take Water, utility classification

certificates and other permits, licenses and certificates issued by regulatory authorities.

  • Support with roads permits, weather reporting, and website updates such as half-load timelines.

  • Work closely with finance to manage reconciliation of payments and administration of Moneris t system.

  • Process OPP accident reports, input information into database.

  • Monitor and record the status of hauled sewage lagoons and inform contractors of changes.

  • Work safely and in compliance with relevant statutes and regulations and within the safe work procedures

and directives as established by the District.

What you will need:
• Graduate of a one-year Community College program, specializing in office administration or equivalent,

with a minimum two years’ experience in an engineering field.

  • Demonstrated ability to communicate effectively and courteously with members of the public, both in

person, on the telephone and electronically.

  • Strong organizational, analytical, and interpersonal skills are required.

  • Demonstrated ability to independently problem solve.

  • Proven ability to accomplish performance objectives.

  • Working knowledge of trade terminology and demonstrated technological proficiency.

  • A valid Ontario driver’s license is required.
