Job Purpose The Enrollment and Student Services Manager plays an integral role in enhancing the College’s exceptional student experience, overseeing admissions, enrollment, financial aid, orientation, retention, and graduation for Career College cohorts.
This position reports directly into the Senior Manager, Enrollment and Admissions Canada, and is responsible for the annual review of enrolment operations, compliance requirements, student records and graduation data. It serves as a primary liaison to academic and service areas, including payment plans, career support, advising, and supporting student issues and appeals.
As an integral part of the College’s success, this role represents the College to various stakeholders, responding to inquiries and ensuring students receive the support they need.
Main Duties And Responsibilities Student Services & College Operations
- Provides individualized and ongoing advice to students, ensuring their success throughout their college journey, both pre- and post-enrollment.
- Addresses student inquiries promptly, typically by the end of the day and within 24 hours at the latest.
- Counsels students on payment matters and follow up to ensure timely payment of fees.
- Oversees, deliver and support Career Academy workshops, activities, events and sessions as required both regionally and nationally with the Career Academy/client services teams.
- Provides support for daily college operations, taking on administrative and operational tasks across all departments as required
- Oversee programs and activities related to student accounts, including registration, enrollment, records, contracts, graduation, and client services, ensuring compliance with provincial regulations, college policies, and strategic goals.
- Working collaboratively with other departments, the Enrollment and Student Services Manager is accountable for developing and implementing projects, programs, policies, regulations, processes and systems to support the goals of the strategic plan and the admissions department to enhance and improve efficiency and quality of enrollment functions
Enrollment, Finance, Compliance And Reporting
- Collaborates closely with the admissions team to ensure applicants have all the necessary information to complete their enrollment and uphold compliant and complete student files.
- Ensures accurate record-keeping, manages course registration and scheduling, and handles student information and data, inclusive of government/regulatory reporting requirements.
- Leads student activities involving admission, registration, transcripts, payment plans, exchange and transfer credit, course timetabling, student awards, bursaries, scholarships and financial aid, academic standing /progression, student appeals, curriculum review, college calendar publication records including payment and payment plans, official transcript and documentation production, and student systems development, training and support.
- Assists in the preparation and presentation of the enrolment audit, office reports, statistical data requests, KPIs and other documentation requested both internally by Oxford International and as part of external auditing.
- Ensures industry knowledge is up to date to stay informed of trends in the career education sector, so industry best practices and regulatory requirements are followed and applied at all times.
Skills Required
- Strong communication skills to engage with variety of stakeholders within the school
- Excellent problem-solving and customer service skills, ensuring timely resolution of student inquiries
- Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks
- Familiarity with student management systems and MS Office
- Ability to lead and collaborate across teams to achieve student success
- Skilled in working cross-functionally with various departments to improve student services and outcomes
- Keeps up to date with industry trends, continually improving processes to enhance student experience
Experience Required
- Post-secondary Enrollment & Student Services: Extensive experience in Enrollment, Student Services, and/or admissions in a post-secondary or higher education environment, preferably within a career-focused institution or college
- Student Support: Experience providing individualized guidance and support to students pre-and post-enrollment
- Compliance & Regulations: Strong understanding of educational regulations and the ability to ensure compliance in student services and records management
- Operational oversight: Experience overseeing student-related operations such as registration, records, and payment processing
- Data-driven decision making: proven ability to analyze student data and use insights to improve enrollment processes, and managing student records
- Program development & Implementation: Experience in developing and implementing policies, procedures, and programs aimed at enhancing the student experience
