Project Coordinator
Reports to
VP, Operations (EVSTART)
POSITION SUMMARY
A successful Project Coordinator is responsible for supporting the timely coordination and administration of EV Charger projects, including multi-residential, commercial, and residential deployments, from project award through to handoff and closeout.
This role supports the project team with scheduling, procurement tracking, vendor and subcontractor coordination, project documentation, customer updates, and progress tracking to help ensure projects remain on schedule, within scope, and aligned with budget expectations.
The incumbent must be highly organized, proactive, and able to communicate effectively with internal teams, contractors, vendors, site hosts, and customers while supporting EVSTART’s quality and safety objectives.
KEY RESPONSIBILITIES
Project Setup & Initiation
-
Work with the projects team to coordinate multi residential, commercial and residential EV Charging deployments from project award to handoff.

Support site audits and schedule visits as required, with the field operations team to assess project requirements.

Assist in evaluating subcontractor and vendor bids based on qualifications, cost and reliability.
Procurement & Vendor Management
-
Issue and track purchase orders to suppliers, vendors, subcontractors, and clients.

Manage the bill of materials and process requests for quotes with EV hardware manufacturers and electrical distributors.

Coordinate delivery of EVCS equipment to and from the warehouse and project sites.
Compliance & Documentation
-
Collect and track required documentation from subcontractors, including WSIB and insurance.

Create, manage, and track project documents such as RFIs, submittals, shop drawings and other project related documents.

Compile and submit project closeout documents to customers.
Scheduling & Project Tracking
-
Maintain and update project schedules, task lists, and critical paths.

Monitor work progress and contractor schedules against project plans, specifications, timelines, and budget expectations while proactively addressing routine issues and escalating risks or changes as needed.

Report on and communicate project progress and status updates to customers as needed.
Operations & Admin
- Communicate with electrical contractors and site hosts to keep project milestones on track.
- Coordinate with the finance team on monthly billing applications based on site progress.
- Update and maintain the company CRM on an ongoing basis.
- Perform other duties as needed to support department and company goals.
REQUIRED EDUCATION & QUALIFICATIONS
- Post-secondary education in Business Administration, Project Management, Construction Management, Electrical Engineering Technology, or a related field is preferred.
- 2 to 3 years of experience in project coordination, construction coordination, operations, administration, or a related role.
- Experience in the EV charging, electrical, construction, energy, utilities, or property management industry is considered an asset.
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
- Strong verbal and written communication skills with the ability to communicate professionally with internal teams, contractors, vendors, customers, and site representatives.
- Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.
- Experience working with project schedules, purchase orders, RFQs, RFIs, submittals, closeout documents, or other project documentation is considered an asset.
- Ability to review and track project information, documentation, costs, timelines, and outstanding action items with accuracy and attention to detail.
- Valid Ontario driver’s licence and access to a vehicle is preferred, as some travel within Ontario may be required.

WORKING CONDITIONS
- Manual dexterity required to use desktop computer and peripherals.
- Some travel is required within Ontario.
- Overtime as required.
