TheCompliance Audit Associateplays a key hybrid role, working with both the Auditing and Policies and Procedures departments, and reports to the Director, Training and Compliance. This position involves performing audits, monitoring updates to policies, and ensuring documentation remains accurate to support process adherence and continuous improvement across the organization.

Key responsibilities include reviewing and enhancing compliance documentation, ensuring audit findings and regulatory requirements are accurately captured. The Associate also collaborates with leadership to draft and edit policies, procedures, and technical documents, aiming for clarity and alignment with organizational standards.

YOUR NEW ROLE AND RESPONSIBILITIES:

As an energetic, career-focused individual under the Director of Training and Compliance, the Compliance Audit Associate collaborates with the Auditing and Policies and Procedures Departments and other internal teams to fulfill responsibilities.

  • Supporting the development of processes, tools, and resources to advance compliance initiatives aligned with corporate goals and objectives.
  • Reviewing and assessing audit flows, findings, and associated documentation to support audit follow-up activities, ensure operational adherence, and identify required policy, procedural, or training updates.
  • Investigating alleged compliance violations and documenting findings in accordance with established protocols.
  • Conducting compliance research to identify, interpret, and analyze applicable legislative and regulatory requirements.
  • Identifying policy, procedural, and documentation issues arising from audits or operational reviews, and conducting research, consultation, and analysis to support policy governance and informed decision-making.
  • Reviewing operational policies and procedures to recommend efficiencies, clarify requirements, and support consistent application across the organization.
  • Supporting audit-driven and legislative updates to policies, procedures, and guidelines by recommending amendments to management to ensure ongoing compliance, alignment with property standards, and integration with software and technology applications.
  • Assisting with the drafting, formatting, technical editing, and revision of policies, procedures, guidelines, technical documents, forms, letters, and other compliance-related materials to ensure clarity, consistency, and adherence to organizational standards.
  • Supporting the governance life cycle of policies and procedures, including documentation standards, version control, scheduled review cycles, and alignment with audit results and compliance requirements.
  • Collaborating with the Training Department to identify training implications arising from audit findings, policy or procedural changes, or compliance gaps, and supporting the development, update, or refinement of training materials and reference tools as required.
  • Conducting and attending meetings related to audits, policy reviews, documentation development, training alignment, and compliance initiatives, as required.
  • Completing administrative tasks as directed by the Director of Training and Compliance and the Manager of Policies and Procedures
  • Supporting Senior Management with compliance-related, documentation, and audit follow-up project work, as directed.

REQUIREMENTS FOR SUCCESS:

  • Completion of a post-secondary program in a relevant field of study.
  • Two (2) to five (5) years of experience in administration, compliance, auditing, documentation, and/or a related field.
  • Knowledge of current laws and legislation pertaining to the Residential Tenancies Act and/or la Régie du logement du Québec, as applicable.
  • Knowledge of Osgoode’s operational policies, procedures, and documentation standards.
  • Ability to interpret, apply, and support the implementation of company policies, procedures, and guidelines.
  • Strong organizational, time management, and prioritization skills, with the ability to manage multiple assignments and deadlines.
  • Well-defined sense of diplomacy, strong interpersonal skills, and the ability to problem solve effectively.
  • Excellent verbal and written communication skills in English, with demonstrated ability to draft, edit, and format clear and professional documentation.
  • Strong report writing, documentation, and presentation skills, with a high degree of accuracy and attention to detail.
  • Computer literacy includes effective working knowledge of MS Word, Excel, SharePoint, Monday.com and email.
  • Proficiency using Yardi and DashQ.
  • Ability to work independently and collaboratively in a team environment.
  • Demonstrated integrity, confidentiality, accountability, and a positive, professional work attitude.
