Compensation Range

$6,747.50 - $9,701.42 CAD Monthly

In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

Job Summary
The Grant Facilitator is an important role within the Michael Smith Laboratories who will increase research capacity by assisting faculty members to maximize their success with external research funding agencies and internal research funding sources. This position is responsible for identifying, developing, preparing, and coordinating research grant applications, letters of intent, background documentation, research program rationales, ethics submissions, and other documents for various research funding agencies. Successful proposals will require management and overall coordination of grant activities including budget forecasts, agency reporting, team meetings, and ensuring faculty members are aware of deliverable. This position requires a high level of expertise and knowledge in molecular biology and genomics.

Organizational Status

Reports directly to the Director of the Michael Smith Laboratories, and will liaise with project manager teams at the BC Cancer Research Institute and Life Science Institute. They will join a dedicated team of department staff who support the research success of 25+ faculty members. Communicates directly with co-investigators, lab managers, research associates, postdoctoral fellows, graduate students, consultants, collaborators, and external funding agencies to obtain information and documents for grant applications and progress reports.

Work Performed

  • Identifies funding opportunities from various Canadian and international agencies. Evaluates, monitors, and disseminates information to faculty members.
  • Organizes team meetings to discuss proposals, determine internal UBC and funder timelines, ensure faculty members are aware of deadlines, UBC policy requirements, human ethics, biohazard, and other requirements.
  • Interprets relevant regulations and requirements and provides guidance and consultation to faculty.
  • Reviews budgets proposed by researchers and amends for accuracy and adherence to agency guidelines.
  • Reviews grant requirements and contributes to writing and editing of scientific sections.
  • Develops, implements, and maintains procedures, systems, and processes for research file management.
  • Liaises with the UBC Office of Research Services and Research Ethics Boards to ensure that approvals are obtained, ethical reviews are submitted, and issues are resolved.
  • For successful proposals, arrange meeting coordination and follow-up, assist with inter-institutional agreements, statement of work documents, compliance documents.
  • Manages budgets, initiates fund transfers as appropriate.
  • Tracks project expenditures, milestones, deadlines and objectives.
  • Organizes project team meetings.
  • Oversees the planning and organization of special research events, seminars, retreats, workshops, courses, and symposia as requested.
  • Coordinate research progress and close-out reports including financial and metrics reporting.
  • Contributes to scientific presentations, and edits abstracts for readability and consistency.
  • Support manuscript preparation and submission.
  • Assist in the recruitment and hire of project related faculty, staff, and students.
  • Recommend process improvements and strategies for strengthening project management methods.
  • Performs other related duties as required.

Consequence of Error/Judgement
Work is carried out under the portfolio of the Director; priorities and completion of tasks are determined accordingly. Resolution of errors is the responsibility of the Grant Facilitator in coordination with the Director. Inaccurate work may result in a loss of research funding dollars. Delays in work completion may hinder research project timelines. Confidential material regarding human resources must be treated with great tact and discretion.

Poor judgement, errors in preparing documents, or inappropriate management of confidential information could have an adverse effect on the faculty members, department and/or University.

Supervision Received
Works independently with considerable latitude. The Grant Facilitator is expected to use a high level of initiative. Must possess a considerable amount of judgement in managing workload demands in order to meet multiple deadlines. Must exercise judgment in duties and responsibilities and in identifying unusual matters that require consultation, further investigation, etc. before taking action.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Postgraduate degree in a field relevant to biotechnology, genomics, molecular biology, microbiology, botany, or bioengineering.
  • Demonstrated knowledge, skill and experience in research grant development, scientific technical writing, report writing and administration.
  • Knowledge of and/or experience in project management principles, accounting and fiscal management.
  • Knowledge of research funding landscape and project management experience.
  • Experience with CIHR, NSERC, CFI.
  • Possess very strong oral and written communication skills in scientific English, and an understanding of the culture of the research community and research granting agencies.
  • Ability to recognize and correct all manner of written errors, including spelling, grammar, punctuation, sentence structure, spacing, formatting, logical conclusions, and inconsistencies.
  • Experience and understanding of the principles of EDI.
  • Ability to gather, record, and organize information efficiently.
  • Strong interpersonal and organization skills and have the ability to accept responsibility and work both independently and as part of a team.
  • Thorough knowledge of and ability to use various software programs at an advanced level including Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, OneDrive and MS Project), Zoom, and Adobe Acrobat PDF Writer.
  • Knowledge of UBC policies and procedures, and experience using UBC Workday, RISe.
  • Proven ability to establish own priorities, multi-task, and work under pressure to meet deadlines.
  • Ability to deal with a diversity of people in a calm, courteous, and effective manner.
  • Ability to handle a high volume of work, exercising strong organizational and time management skills.
  • High degree of confidentiality, accuracy, attention to detail, thoroughness, flexibility, and dependability.
