TO Live is seeking an experienced Director of Bookings Management who will join the Programming team and have a passion for the business of the arts and a track record of achievement in the cultural sector.

The Director of Bookings Management, under the general direction of the VP Executive Producer, is responsible for facilitating and maintaining maximum administrative efficiencies with respect to ticketed event rentals in the three TO Live venues: Meridian Hall, St Lawrence Centre for the Arts and Meridian Arts Centre. Using extensive knowledge of the industry, the Director of Bookings Management works closely with clients, promoters, and other departments to ensure effective rental space operations with a goal to increase rental income and ensure superior customer service.

The Programming Department of TO Live, headed by the Vice-President of Executive Producer comprises the Programming, Producing and Production Departments, each with their own Director. The combined Programming Department is responsible for securing, servicing, and delivering TO Live’s rental business including corporate and private events, communities and outreach, and TO Live Presents programming.

GENERAL POSITION SUMMARY

The Director of Bookings Management reports to the VP Executive Producer and works closely with the Directors of Production, Programming and Corporate & Private Events to ensure the Department’s administrative processes support the delivery of the Department’s objective of maximizing use of TO Live venues.

This position works closely with the VP Executive Producer on strategic, financial and other department planning to maximize the opportunities and meet the challenges of TO Live’s organizational goals and objectives as they pertain to the Programming Department.

ACTIVITIES AND RESPONSIBILITIES

  • Provide strategic leadership of all direct reports to ensure TO Live processes and policy are upheld and exemplary client service is provided.

  • Hire, train, mentor, and discipline staff as required.

  • Work in collaboration with other members of the senior management team to develop solutions to organization-wide issues and contribute to their resolution.

  • Manage key external client/business relationships, promote TO Live brand, and seek business development opportunities in rental market.

  • Develop and maintain excellent client relationships to maximize rental opportunities within a competitive marketplace to ensure a healthy return rate to the

  • Responsible for communication of pertinent TO Live organization updates to rental clients (ie Venue closures and capital projects; rate increases; etc.), under direction of Executive team and Director of Programming. Liaise with departments to assist with planning for execution of changes that impact rental clients.

  • Negotiate and resolve date challenges and booking conflicts with rental clients, resident companies, and TO Live’s Programming and Corporate and Private Events Departments to maximize activity

  • Negotiate contractual terms, incentive agreements, and long-term usage opportunities, with ticketed event rental clients within established

  • Oversee the preparation of rental contracts and deal terms prepared by Bookings department and review for accuracy, facilitating their timely

  • Oversee the preparation of comprehensive event estimates for ticketed event rental clients ensuring clients are provided with timely and accurate

  • Monitor and review changes to estimates, ticket revenues, and deposits for ticketed event rentals

  • Facilitate connecting the client with the event management staff to move forward the planning with continued oversight to ensure event management services are provided in a manner which meets contractual obligations and client’s expectations.

  • Work with other TO Live departments to establish internal processes to maximize efficiencies and deliverables to ensure streamlined client experience

  • Review event settlements as required and assist finance in resolving variances and follow up with outstanding items required to close out settlement process

  • Manage response to client complaints and request for adjustments on settlement, keeping senior management and department heads informed

  • Create and prepare ticketed rentals annual revenue budget in consultation with Director of Programming and assist with statement of contribution reports to monitor progress of annual targets.

  • Conduct analysis of other venues and recommend changes to rental terms as required.

  • As required, be on-site for ticketed rental events to assist in enhancing customer service

  • Other duties as assigned from time to time by the VP Executive Producer.

KNOWLEDGE, SKILLS & EXPERIENCE

  • Minimum education: post-secondary degree in arts administration/business or relevant discipline.
  • Minimum of 5 years experience in a related position with demonstrated knowledge of entertainment industry and facility rental
  • Excellent interpersonal, relationship building, negotiation, and collaborative skills.
  • Ability to motivate and develop staff and foster a team environment.
