Job Summary:
The Digital Services Resource Coordinator/Project Administrator (RC/PA) will manage the daily activities for the Building Automation Systems (BAS) Service Technicians, Remote Support Specialist, Energy Engineer and Account Engineer(s) currently in the district. This individual is responsible for project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. Under general supervision, processes more complex orders for materials or merchandise.

This position has been designated as a Hybrid work schedule with work performed onsite 3 days each week.
Responsibilities:

Responsible for communicating directly with internal and external customers regarding scheduling, updates, and follow-up
-
Receives and enters all BAS service related calls
-
Confirms the accuracy of the information entered in the Trane business systems (customer information, PO, call type, profit center, etc.)
-
Works with the Area Service Manager to coordinate the daily schedules of BAS Service Technicians
-
Coordinates manpower with Contracting Project Managers and Project Administrators on strategic projects
-
Works with the Account Exec to strategically coordinate service control inspections and repair work to follow the customer consultation meetings
-
Releases all materials and subcontractor agreements for quoted projects
-
Maintains status of all active calls and WIP
-
Maintains contract compliance
-
Communicates with the Service Control Field Team Leaders
-
Service Controls invoicing
-
Coordinates warranty transfers
-
Verify and apply technician labor daily
-
Issue and enter purchase orders for vendor purchases
-
Enters purchase orders and receipt purchase orders.
-
Process service claims
-
Communicates effectively with other team members concerning project management process.
-
Sets-up service agreements in system application based on transition documents
-
Collects, inputs, validates and reconciles project costs data in system application to completed work order.

Follow-up with customers to obtain missing Purchase Order #s
-
Initiate invoicing process and coordinate format, layout, attachments, and mailing with Shared Financial Services.

Reviews billing backlog and coordinates/communicates with Project Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.

Process and coordinate internal Trane claims by evaluation and qualifying requests, collecting information and completing forms, responding to questions, and tracking progress.
Tasks Related to Digital Services Agreements

Assist in development and Validation of Digital Services contract and Project estimates to verify accuracy and scheduling
-
Once estimate is transitioned-Transmits estimate
-
Fills out TIS request form and submits for processing
-
Inputs contract/project into Trello for scheduling and tracking
-
Orders any necessary material
-
Schedules BAS Techs, RSS, AE, and EE to implement necessary tasks for contract/project
-
Tracks all contracts/projects for compliance
