Job Purpose
The Procurement Specialist is responsible for planning, sourcing, and purchasing the materials, equipment, and services required for Habitat construction projects. The role ensures cost-effective procurement, maintains reliable supplier relationships, and coordinates the timely delivery of materials to support safe, efficient, and high-quality construction. The Procurement Specialist works closely with construction and finance teams to ensure purchasing activities align with project schedules, budgets, and Habitat’s mission-driven objectives.
Job Duties
- Develop and implement procurement strategies to support residential construction projects and ensure the timely and cost-effective delivery of materials, equipment, and services.
- Source building materials, equipment, and subcontracted services while ensuring quality, value, and compliance with project specifications and applicable standards.
- Prepare issue and manage purchase orders, supplier agreements, and procurement documentation in accordance with organizational policies.
- Identify,evaluate, and maintain relationships with suppliers, manufacturers, and service providers to ensure reliable supply chains.
- Negotiate pricing, terms, and delivery schedules to achieve cost savings and supply reliability.
- Coordinate procurement and deliveryscheduleswithconstruction managers and site supervisors to support project timelines.
- Monitor inventory and equipment levels and coordinate just-in-time deliveries to job sites where appropriate.
- Resolve supply issues, material shortages, delivery delays, or vendor performance concerns in a timely manner.
- Work with the Construction Manager and Finance teams to develop procurement budgets aligned with project estimates.
- Track procurement costs and identify opportunities for cost savings through strategic sourcing and supplier negotiations.
- Develop clear scopes of work for materials, trades, and services to support procurement and tendering activities.
- Assist in tendering processes, including issuing RFQs/RFPs, evaluating supplier proposals, and supporting vendor selection.
- Support standardized material specifications across projects to improve efficiency and cost control.
- Coordinate logistics for major or critical material deliveries to support construction activities.
- Work with internal teams to leverage discounted, donated, or in-kind materials where appropriate.
- Ensure procurement activities comply with Habitat policies, funder requirements, and applicable regulations.
- Maintain accurate procurement records including purchase orders, supplier agreements, and pricing documentation.
- Verify that suppliers and subcontractors maintain appropriate certifications, insurance, safety practices, and compliance documentation.
- Ensure all procured materials, equipment, and services meet required health and safety standards and regulatory requirements.
- Perform quantity take-offs from drawings and specifications to determine material requirements and support procurement planning.
- Prepare material and trade cost estimates to support project budgeting, tender evaluations, and cost control.
Summary of Skills & Qualifications
- Post-secondary education in supply chain management, construction management, business, or a related field, or equivalent experience
- Applicable experience may be substituted for the education requirement.
- Minimum three (3) years of procurement or supply chain experience, preferably in construction or residential development
- Experience managing procurement
- Experience building out scopes of work
- Strong negotiation, contract management, and vendor management skills
- Solid understanding of construction materials, trades, and build sequencing
- Proficiency with procurement systems, spreadsheets, and financial tracking tools
- Proficiency in Microsoft Office, particularly Excel and Word.
- Used Procore, CMIC or other similar construction project management software
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize and work on multiple projects simultaneously.
- Cross-reference drawings and reports to ensure accuracy or inconsistencies for the scope of work
- Detail-oriented and organized.

Habitat ReStore collects donations from the community, and proceeds from sales help cover the cost to build homes for families.
