Reporting to the Team Lead, Workforce Administration, the HRIS Administrator supports the effective administration of employee lifecycle transactions by ensuring employee data, job changes, and related documentation are accurately processed and maintained in PeopleSoft HCM. This role works closely with Employment Services and colleagues across Shared Services to support workforce administration processes, maintain data integrity, and deliver responsive, high-quality service.
This position is ideal for a detail-oriented HR professional with experience in HR systems, employee data administration, and process-driven work in a service-focused environment.
Shared Services is a close-knit community of smart, approachable people who collaborate, exchange knowledge and identify solutions. Our team of experts problem-solves by collaborating with Centres of Expertise (centres providing strategic expertise and specialized services in specific functional areas), faculty and staff in order to see the whole end-to-end process and find a solution that works for the entire community. Maintain the integrity and confidentiality of HR data in PeopleSoft HCM
-
Review, validate, and process Pay Action forms, eForms, and employment transaction requests, confirming compliance and documentation completeness before any action is taken.

Perform regular data audits to identify gaps, correct errors, and ensure records are complete, current, maintaining system integrity across PeopleSoft HCM.

Process employment transactions for diverse employee groups, including union and excluded staff, students, and non-employees, applying Collective Agreements, university policies, and applicable legislation, including the Alberta Employment Standards Code.

Provide clear, practical guidance to HR staff in Shared Services and the Centre of Expertise, and to departmental administrators and supervisors, on performance increment processes, recurring terms, POI, student, and summer program administration.

Document HR transaction procedures in PeopleSoft and other applications using flowcharts, screenshots, and step-by-step instructions, and coordinate user training to support consistent system use.

Participate in User Acceptance Testing (UAT) for HCM system updates, bringing operational expertise to shape better outcomes.

Work closely with functional teams across Shared Services to ensure seamless, timely job transaction processing

Postsecondary diploma in Human Resources, Business Administration, or a related field; equivalent combinations of education and experience will be considered.

Minimum two years of related experience in a large organization, preferably in the post-secondary or public sector, with hands-on experience using an enterprise HR or HCM system.

Demonstrated ability to comprehend and apply collective agreements, HR handbooks, and institutional policy consistently.

Strong attention to detail and data accuracy.

Proven ability to manage high volumes of transactions under tight deadlines without compromising quality.

Clear, respectful verbal and written communication and ability to simplify and articulate complex processes or information

Skilled in planning and organizing time and resources to achieve results identifying critical tasks and focus on competing priorities while working with strict deadlines.

A genuine service mindset, and commitment to understanding client needs and expectations

Collaborative spirit working within a team environment and building productive relationships with colleagues across functional areas.

Proficiency in Microsoft Office Suite, and comfortable learning new tools and workflows as the technology environment evolves.
