Position Summary
The Program Coordinator – Dental Programs, reporting to the Director of Dental Programs, supports the smooth operation of our dental education programs. This role involves coordinating schedules, supporting student and staff onboarding, and managing key events throughout the academic year.
Reporting Line
Reports to: Education Manager, Dental Programs
Key Accountabilities

Develop and release staff and student schedules for clinics and program start dates.

Coordinate logistics for clinic operations including sealant, local anaesthetic, and client care clinics.

Manage payroll submissions and confirm staffing for clinical activities.
-
Liaise with student services, IT, and career services to support student onboarding and industry presentations.

Support orientation, open house events, and graduation activities.
-
Organize and promote special events such as awards ceremonies, table clinics, and registration days.
-
Communicate with sponsors and stakeholders for program-related initiatives.
-
Coordinate daily operations of the Dental Programs in collaboration with the Director.
-
Support and mentor faculty to ensure consistency and quality in instruction and clinical supervision.
-
Prepare and deliver classroom instruction as assigned.
-
Enforce and uphold college policies within the program.

Collaborate with the Director to develop and maintain program schedules, course loading, and instructor assignments.
-
Monitor student performance (didactic and clinical), ensuring timely feedback and documentation of progress.
-
Communicate student issues and learning needs proactively to both the student and Director.

Coordinate and lead faculty calibration meetings and participate in curriculum review and advisory committee meetings. - Responsible for Pre-clinical and clinical tracking (DA/ DH)

Approve changes in student clinical schedules

Support student success initiatives, including remediation plans, mentorship, and academic advising.

Responsible for ensuring clinic binders are up to date and accessible

Review requirements and protocols on a regular basis and communicate with clinic instructors

Work with Program Leads of Dental Hygiene and Dental Assistant programs to monitor clinic issues, maintenance, service and appropriate supplies

Review requirements and protocols on a regular basis and communicate with clinic instructors

Work with Education Manager and DCA to put in place strategies to ensure there is a sufficient amount of patients for students to complete competencies

Ensure the clinic meets all radiology standards and requirements.

Ensure all infection prevention and control polices are up to date and enforced

Ensures all health and safety protocols are managed and implemented to best practise

Responsible to review clinic protocols and ensure they are current and updated as needed
-
Ensures any updates are reflected in theory and clinic courses.
Requirements
EDUCATION & EXPERIENCE
-
Dental Hygienist with a degree
-
Currently licensed to practice and in good standing with provincial regulatory body.
-
Minimum 3-5 years’ experience as a dental health professional
