The Role
Reporting to the Projects Department Manager, the Project Coordinator will play a key role in supporting the Mechanical, Construction & Fabrication Divisions. This role involves coordinating field teams, managing scheduling and documentation, handling procurement, and ensuring smooth communication between departments, vendors, and clients.
Key Responsibilities
- Coordinate daily dispatching of project field teams and manage related administration (Sage Field Operations, ADP, etc.).
- Oversee daily project documentation: payroll records, End of Day Reports, Daily Field Reports, and filing.
- Manage procurement: purchasing disposables, rentals, equipment, and bulk materials; issuing purchase orders; and coordinating vendor/subcontractor bids.
- Maintain and update project schedules (weekly, bi-weekly, and quarterly) using MS Project and internal systems.
- Support project leaders with equipment/tool allocation, delivery logistics, and resource scheduling.
- Provide backup support to the purchasing teams across mechanical, controls, and fabrication.
- Assist with project tracking, contract administration, vendor communication, and internal reporting.
- Contribute to departmental meetings, prepare minutes, and ensure accurate record-keeping.
Qualifications
- College Diploma/University Degree in a related field.
- Proficiency in MS Office (Word, Excel, Outlook); experience with MS Project is required.
- Familiarity with Sage 100 or Sage Field Operations is an asset.
- Ability to read AutoCAD drawings considered an asset.
- Strong written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities.
- Team-oriented but able to work independently; reliable and adaptable under pressure.
