Position Summary
The Project Coordinator plays a key support role within the project team, working closely with the Project Manager to assist in planning, coordination, communication, and execution of projects across software implementation, process improvement, and operational initiatives.
The ideal candidate is a highly people-focused individual with strong interpersonal skills, organization, and attention to detail. This role ensures project activities remain organized, stakeholders are informed, and administrative components are executed accurately and efficiently.
Key Responsibilities
Project Support & Coordination
- Assist the Project Manager in planning and executing project deliverables.
- Coordinate project schedules, meetings, milestones, and deadlines.
- Track action items and follow up with stakeholders to ensure completion.
- Maintain project documentation, reports, and status updates.
- Support resource coordination across cross-functional teams.
- Monitor risks, dependencies, and timelines, escalating concerns when appropriate.
Stakeholder & Team Communication
- Serve as a key point of contact for project-related communications.
- Support stakeholder engagement and maintain strong working relationships.
- Prepare meeting agendas, take minutes, and distribute follow-up documentation.
- Facilitate collaboration between technical teams, business users, and leadership.
- Assist in change management and communication planning where required.
Administrative & Operational Support
- Maintain organized project files and reporting dashboards.
- Support budgeting, invoicing tracking, and basic financial coordination.
- Assist with procurement coordination related to project needs.
- Prepare presentation materials and executive summaries.
- Ensure project documentation aligns with organizational standards and compliance requirements.
Process Improvement Support
- Assist in mapping current and future-state processes.
- Support documentation of workflows, SOPs, and system requirements.
- Coordinate testing activities (UAT), feedback collection, and implementation support.
- Help drive adoption and continuous improvement initiatives.
Qualifications & Experience
- 2+ years of experience in a project coordination, administrative, or operational support role.
- Experience supporting software, IT, or process improvement projects is considered an asset.
- Familiarity with project management methodologies (Agile, Waterfall, or hybrid models).
- Proficiency with Microsoft Office, project management tools (e.g., Asana, Jira, MS Project), and collaboration platforms.
- Must have a valid license and a reliable vehicle. This role requires travel to different Steelhaus facilities.
