Based at Place de la Cité and reporting to the Senior Director of Operations, the Administrative Assistant will play a key role in managing tenant accounts by ensuring payment tracking, invoicing, sales reconciliation, tenant communication, as well as administrative support related to leases and collections files.

  • Prepare and make daily deposits for received payments
  • Apply payments to tenants’ accounts receivable
  • Reconcile accounts and those related to gift card sales
  • Send account statements to tenants
  • Issue non-payment notices and make collection calls and follow-ups with tenants regarding outstanding receivables
  • Prepare documentation for problematic accounts and forward them to legal professionals, ensuring follow-up
  • Process returned checks and tenant refunds
  • Record all receivables-related comments in the collection report
  • Maintain an up-to-date list of payment agreements
  • Follow up with the property accountant regarding monthly rent invoicing
  • Maintain and update the percentage rent tracking table and invoice monthly
  • Prepare, review, and coordinate the production of various reports
  • Receive and record retailers’ sales and enter them into the system
  • Issue various invoices for services rendered to tenants and ensure necessary follow-ups
  • Respond to tenants’ inquiries and requests
  • Follow up on tenant insurance documents
  • Track various documents related to leases
  • Scan documents to be filed in client/tenant records, both physical and digital
  • Perform any other related duties

Qualifications:

  • College diploma in office administration
  • CPM or FMP certification (an asset)
  • Minimum of three (3) years of experience in a similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Bilingualism required: fluent in both French and English, spoken and written
