Office Manager and Student Advisor, Theatre and Film
About the role
Theatre and Film is one of UWinnipeg’s largest departments and acts as both a teaching and learning environment and as a professional theatre/film organization. It is through this dual role that our students receive the intensive theoretical and hands-on training that prepares them for work in the arts.
The Office Manager and Student Advisor a full-time continuing role that is responsible for independently managing the myriad day-to-day administrative operations of the department and liaising with external arts organizations, particularly in the Film and Theatre industries. They also provide comprehensive student advising and support services, and production and administrative support for department activities.
Responsibilities:
- Collaborates with the Chair on timetabling and strategic planning, and facilitates departmental operations.
- Carries out research and analysis to develop policies and solve problems.
- Reviews curriculum offerings and suggests updates, assists in preparing and updating curriculum material, and serves as liaison with other departments.
- Orients all new faculty to the department and the university.
- Participates in the hiring of Teaching Assistants/Markers, including processing applications and employment forms, and allocating class assignments.
- Serves as administrative and academic liaison with the School of Contemporary Dancers joint program.
- Contributes to decisions on incidental fee assessment, receives and receipts fee payments, makes deposits and administers Film Damage Deposit agreements and refunds.
- Arranges, organizes, and participates in department meetings. Arranges committee meetings and represents the department when needed.
- Schedules student, faculty, public, one-time, and on-going activities in the Asper Centre for Theatre and Film (ACTF).
- Provides Security office and in-person Security guard with ongoing chart of activities in the ACTF, and is responsible for assessing, coordinating and managing the implementation of security measures in consultation with the Production Coordinator, the Chair and University Security.
- Collaborates with THFM Production Coordinator and other university departments to assess, request, schedule and monitor upgrades and improvements to department spaces.
- Represents the department as liaison to the arts community, and performs public relations functions, networks with this community, and hosts departmental guests.
- In collaboration with the Chair, develops and maintains departmental website.
- Manages on-line ticket booking for all department productions.
- Supervises maintenance of departmental Script Library.
- Responsible for accuracy of course information in the University Calendar and Timetable.
- Completes necessary administrative functions such creating and sending correspondence, processing mail and responding to email, maintaining office equipment, ordering supplies, etc.
- Provides current students with accurate, detailed, and appropriate degree planning services.
- Works with a variety of students including those with accessibility needs, and Indigenous, international, and mature students to ensure that their needs are met and that they get the specific support they require.
- Works with students and professors to develop special studies courses.
- With Chair and/or other staff, creates and delivers department orientation sessions to classes.
- When appropriate, takes responsibility for resolving grievances outside formal processes.
- Keeps abreast of administrative developments within the university and applies changes to advising.
- In consultation with the Production Coordinators, oversees the department’s production credit work for up to 60 students; provides letters of reference for students.
- Collects and date-stamps individual assignments from students for professors and distributes marked papers to students.
- Provides prospective students and their parents with information about the department and the University, participates in recruiting events, conducts information sessions and hosts tours.
- Provides informal personal counselling to students with general issues of a non-academic nature, evaluates the need for referral to appropriate on or off-campus resources, may provide immediate support for students in crisis and ensures their timely access to appropriate support services.
- Advises department Student Association executive , monitors finances and supplies administrative support.
- Obtains public performance rights to legally produce plays at the UWinnipeg.
- Works with individual directors and Communications to create and edit press releases, arranges for distribution, and coordinates media interviews.
- Works with UW Foundation to maintain and update invitation database.
- Prepares and oversees lobby donation box for each production; disperses collected donations to designated charities.
- Prepares show-specific signage for lobby indicating show length, content, donation information, other show information.
- Supports department productions by providing general administrative assistance to directors, stage managers, and performers.
- Hires, trains, and supervises part-time, grant-funded student House Managers; acts as House Manager when necessary.
- Maintains House Management office.
- Collaborates with Student Film Festival Executive Director to execute adjudication and awards, processes honoraria and reimbursement of expenses, proofs marketing materials, arranges for award plaques, and assists with event activities.
- Annually updates documents.
- Completes special projects.
Qualifications:
- Minimum Undergraduate Baccalaureate Degree required.
- Completion of a formal training program in a field related to theatre, or equivalent experience.
- 3 years of directly related experience; an acceptable equivalent combination of education and experience may be considered.
- Must be experienced in developing and giving group presentations.
- A working knowledge of theatre operations would be a definite asset.
- Must be proficient in Microsoft Office, be able to learn specialized computer programs, and adapt quickly to administrative changes.
- Must have a good working knowledge of, and stay up-to-date with University of Winnipeg procedures, policies, and programs, and be able to interpret and apply them, or, in the alternative, be familiar with working in an educational environment.
- Must have superior oral and written communication skills with the ability to plan, coordinate, and establish work priorities and meet deadlines.
- Must be sensitive to the needs of faculty and students and be able to establish and maintain effective working relationships with various levels of internal and external contacts.
- Must demonstrate initiative and be able to work independently. as well as to work cooperatively with others.
- Must be adept at analysing and solving problems.
- Must be attentive to detail and be able to listen to, understand, and transcribe information accurately.
- Must have the ability to supervise and evaluate the work of others, organize and coordinate schedules, and assign tasks.
- Must be able to perform all tasks in a professional, accurate, and effective manner.
- Must exhibit patience, tact, and diplomacy under pressure and when dealing with a large variety of people in all sorts of circumstances, and be able to maintain confidentiality.
- Must be able to create and foster a caring atmosphere and relationship with students and colleagues.
- Must be able to make sound judgments under varying circumstances and short deadlines.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
Condition(s) of Employment:
- Must be legally entitled to work in Canada.
The salary range for this position will be from $52,579.80 to $74,729.20 annually.
