Location: 600 De Maisonneuve Boulevard West, Montreal H3A 3J2 (100% on-site)
Status: Permanent, full-time (37.5 hours/week)
Schedule: Monday to Friday (must be available for a variable schedule between 7:30 AM and 8:00 PM, depending on operational needs)

The Administrative Associate will be responsible for performing a variety of administrative tasks, delivering outstanding customer service to high‑profile executive patients, and working as a team to meet departmental goals.
Your responsibilities will include:
- Greeting clients in a professional and friendly manner
- Answering internal phone calls
- Billing clients
- Balancing and closing the cash register at the end of the day
- Confirming, modifying, or canceling appointments
- Working closely with the coordinator to ensure smooth daily operations
- Responding to client inquiries and minimizing wait times between appointments
- Responsible for opening and/or closing the clinic reception
- Responding to incoming patient emails
- Assisting with end‑of‑month reconciliation
- Helping maintain the appearance, supply, and cleanliness of the patient refreshment area as needed
- Providing backup for various administrative roles when required
- Performing any other related tasks
Qualifications
You have:
- Completed high school diploma
- Minimum of one year of customer service experience required
- Fluency in spoken and written English and French is essential
- Basic knowledge of MS Office (Outlook, Excel, Word)
- Attention to detail and accuracy
- Knowledge of medical terminology (an asset)
- Politeness and courtesy
- Efficiency and discretion
- Respect for confidentiality
- Reliability and punctuality
- Good stress and priority management skills
- Ability to multitask
Intermediate knowledge of English is required because you will on a regular basis interact in English with external parties (clients, suppliers, candidates, external partners, etc.); interact in English with internal parties (…)
