What can you expect from this position?
Reporting to the Director, CEO Office, the Executive Assistant brings administrative expertise to support the GTAA’s President and CEO and helping to manage the fast-paced office with great organization and prioritization. In this role, you will have a unique vantage point of the entire company, staying closely attuned to the needs of the CEO and the broader organization.
You will act as a trusted filter, problem solver, and operational facilitator, ensuring the CEO’s time and energy are focused on the most impactful and strategic priorities. You will keep the CEO consistently well-prepared, with meetings executed seamlessly and processes designed to minimize rework by building efficiency, coordinating effectively across the senior leadership team.
As an Executive Assistant, CEO Office, you will:
- Own and manage a complex, high-volume, and ever-changing calendar with precision, foresight, and discretion.
- Act as the first line of prioritization for the CEO by triaging requests, communications, and meetings in real time.
- Coordinate and support logistics, agendas, materials, and communications for internal and external meetings.
- Plan and coordinate extensive international travel with accuracy, efficiency, and attention to detail.
- Stay closely connected to organizational priorities, anticipating needs and serving as a pulse-check for the business.
- Prepare executive-level presentations, dashboards, and briefing documents using Microsoft tools.
- Draft professional communications, presentations, and reports, ensuring clarity and alignment with the CEO’s voice and vision.
- Serve as a liaison between the CEO and key stakeholders, including the Board of Directors, airlines, partners, community leaders, and elected officials.
- Partner with the Board Office to support committee and board cycle meetings, agendas, and activities.
- Manage CEO office contacts, records, and information with accuracy and confidentiality.
- Bring curiosity and an innovative perspective to process improvement and the use of technology.
- Act as a leader across the organization’s Executive Assistants, promoting consistent processes and protocols while acting as a “barometer” of the workplace.
This is the role for you, if you have:
- 10+ years of experience as a primary executive administrative partner in a fast-paced and high-growth environment.
- Exceptional prioritization and organizational skills, with the ability to thrive in complexity and bring clarity to chaos.
- Outstanding communication skills across all formats, delivering messages that are clear, concise, thoughtful, and data-informed.
- A forward-thinking mindset, anticipating needs and planning several steps ahead.
- A proactive and solutions-oriented approach, with the ability to anticipate challenges, solve problems creatively, and continuously improve how work gets done.
- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- The ability to maintain composure under pressure, with exceptional attention to detail, and highly organized work habits.
- The ability to influence and foster an aligned, high-energy, collaborative environment while partnering effectively with multiple stakeholders.
- Strong business acumen, exceptional communication skills, and highly effective interpersonal abilities.
- The ability to challenge the status quo and approach problems from multiple perspectives to identify optimal solutions.
- Bachelor’s degree or relevant post-secondary education.
- Ability to obtain and retain Transportation Security Clearance.
