Job Description

The Administrative Coordinator plays a key role in supporting the day-to-day administrative operations of the team by ensuring accuracy, organization, and efficiency across a variety of office and client-related processes. This role requires a highly organized and detail-oriented individual with strong communication skills, proven office experience, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be proactive, dependable, and able to provide administrative support to both internal team members and external client-related processes.

Core Responsibilities(includes other reasonable duties)

  • Provide general administrative and clerical support to the team.
  • Monitor and manage general correspondence in the CSR mailbox, ensuring timely follow-up and proper routing of inquiries.
  • Process and post direct payments accurately and efficiently.
  • Access various client platforms, including Teranet, FCT, and DRS, to request documentation and log updates where appropriate.
  • Support team members by providing coverage during absences and assisting with ongoing operational needs.
  • Submit manual credit bureau updates to Equifax as needed and review incoming requests from Equifax.
  • Assist with mail handling, distribution, and related office coordination tasks.
  • Support data entry for manual new business received from clients, ensuring information is entered accurately and in a timely manner.
  • Conduct health and safety checks and report any concerns as required.
  • Communicate with building maintenance regarding office-related issues or service requests.
  • Maintain accurate records and ensure all administrative tasks are completed witha high levelof attention to detail.
  • Assist with additional administrative duties and special projects as assigned.

Requirements

  • Proven office or administrative experience in a similar role.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to work independently as well as collaboratively within a team environment.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • Experience handling correspondence, data entry, and general office coordination is an asset.
  • Familiarity with client platforms such as Teranet, FCT, DRS, or credit bureau processes is considered an asset.
