What this role is all about: The Premises Coordinator is the welcoming face and operational backbone of our office hub locations. This role blends hospitality, administrative support, and facilities coordination to ensure a seamless and positive experience for employees, guests, and vendors. The ideal candidate is proactive, detail-oriented, and passionate about creating a well-organized and inviting environment.

This position will be based on-site out of our downtown Kelowna Hub. What you will do: Front Of House Experience

  • Greet and assist employees, guests, and vendors with professionalism and warmth.
  • Support onboarding of new employees with workspace setup and orientation.
  • Assists in parking management for employees.

Employee Experience

  • Welcome and assist guests for meetings being hosted at the office hub.
  • Support with workspace reservations.
  • Assists in coordination of meal orders and setup for larger meetings and events.
  • Proactively identifies and responds to employee needs to foster a positive, engaging, and elevated office experience.

Operational Effectiveness

  • Conducts regular walk throughs to ensure all hotelling and meeting spaces are clean and ready for booking.
  • Liaise with cleaning, maintenance, and security teams to ensure smooth operations.
  • Monitor cleanliness and organization of common areas, kitchens, and conference rooms.
  • Maintain inventory of office supplies, snacks, and other consumables.
  • Assists the Premises Specialist when required. Provides support to the broader premises team as needed.

Office Administration

  • Daily mail management.
  • Submits and coordinates courier requests.
  • Manages requests for stationary for designated region.
  • Manages requests for coffee/water supplies for the designated region.
  • Assists in invoice management by allocating costs within our accounts payable system in readiness for approvals.
  • Works to keep all Premises documentation updated and well organized.

Workplace Experience

  • Identify and implement opportunities to create engaging events and experiences that enhance the employee experience.
  • Provides basic office equipment and amenities to employees when required.

Security & Safety

  • Manages visitor check-in/check-out procedures.
  • Onsite First Aid representative and conducts all employee OHS orientations for your dedicated location.
  • Respond to premises-related requests and escalate issues as needed.

What you will bring:

  • 1-2 years' experience in a corporate or co-working environments
  • Familiarity with hotelling/meeting booking systems
  • Experience with invoice coding or financial tracking systems (Chrome River is preferred).
  • Strong problem-solving skills with the ability to troubleshoot issues and implement practical solutions quickly
  • Equivalent combination of education and experience may be considered
  • Must be able to work at the designated office hub location full time

What you will gain:

  • The salary range for this position is $59,000 - $63,000 per annum.
