Position Description:
The Residential Treatment and Recovery Administrator plays a critical role in supporting the daily
operations of Hamilton Urban Core’s 24/7 Residential Treatment and Recovery Facility. The facility offers intensive addiction treatment beds and supportive recovery beds for adults living with substance use challenges and complex needs.
Working in close collaboration with the Manager, Substance Use Health, the Residential Treatment and Recovery Administrator is responsible for coordinating resident intake and discharge processes in alignment with therapeutic and trauma-informed practices. The role also provides direct therapeutic support to residents, contributing to their recovery and wellness in a safe, structured, and culturally responsive environment. In addition, the Residential Treatment and Recovery Administrator ensures smooth day-to-day facility operations, supports staff scheduling and on-call coverage, oversees the onboarding of new residents, facilitates service access, and manages procurement and administrative functions to maintain a welcoming, organized, and high-quality care setting.
Accountability:
The Residential Treatment and Recovery Administrator reports to the Senior Manager, People and Operations, with overall accountability to the Executive Director.
Key Responsibilities:
- Provide therapeutic support to residents and contribute to individualized recovery plans in collaboration with the clinical team.
- Monitor residents’ progress through the Stages of Change model, tailoring support to meet individuals where they are in their recovery journey.
- Respond to crises and de-escalating situations as needed.
- Collaborate with interdisciplinary care teams to ensure integrated, client-centered service delivery that supports each resident’s wellness goals.
- Lead resident intake, orientation, and onboarding processes, ensuring alignment with therapeutic practices and program requirements.
- Coordinate discharge planning and transitions to community-based supports such as supportive housing, personal housing, outpatient services, or continuing care programs.
- Maintain accurate records for admission, discharge, assessments, referrals, and resident status updates.
- Act as a key liaison with referral partners, families, and service providers involved in residents’ care pathways.
- Oversee the daily operations of the residential facility to ensure a clean, safe, welcoming, and therapeutic environment for residents and staff.
- Coordinate facility maintenance, housekeeping, and food services in collaboration with internal and external providers.
- Ensure all health and safety standards, emergency procedures, operational protocols, and organizational policies are consistently followed.
- Support the ongoing implementation of culturally responsive and inclusive practices within the facility.
- Support the Substance Use Health Manager in developing and maintaining staff schedules to ensure consistent 24/7 staffing coverage.
- Coordinate shift replacements, vacation coverage, and ensure the on-call schedule is maintained and communicated.
- Participate in the on-call rotation to address urgent operational or staffing needs during off-hours.
- Collaborate with internal and external service providers to ensure smooth continuity of care and follow-up.
- Manage procurement and inventory of facility supplies (e.g., food, hygiene, beddings, medical, program materials).
- Complete and maintain documentation such as incident reports, shift reports, occupancy logs, and operational summaries.
- Monitor service utilization, resident engagement, and facility trends to inform program planning and continuous improvement.
- Support purchasing activities in line with organizational financial procedures.
- Participate in interdisciplinary team meetings, case conferences, and quality improvement initiatives.
- Maintain accurate, confidential client documentation including assessments, progress notes, referrals, and care plans.
- Adhere to organizational policies, professional standards, and ethical guidelines in all aspects of client care and documentation.
Other
- Provide mentorship and supervision to students, interns, and new staff.
- Engage in ongoing professional development, including training, literature review, and peer collaboration.
- Support Hamilton Urban Core CHC-wide initiatives, including annual events, advocacy efforts, and client-centered programming.
- Other duties as assigned.
Qualifications
- Master’s degree in Counselling Psychology, Social Work, Recreational Therapy, Occupational Therapy, Public Health, Health Sciences or a related discipline.
- Registration and good standing with a relevant professional college an asset.
- Demonstrated experience providing therapeutic support to individuals with substance use and mental health concerns.
- Experience working in residential treatment, supportive housing, community healthcare Centre an asset.
- Strong administrative, scheduling, and coordination skills in a fast-paced setting.
- Familiarity with trauma-informed care, culturally safe practices, and the principles of substance use health and recovery.
- Knowledge of procurement, inventory, and facility logistics.
Working Conditions
- Work is based on-site at the residential facility with occasional duties at outreach or partner locations or the main office.
- Flexible schedule required, including participation in an on-call rotation and evening or weekend hours.
