About this Position:

Reporting to the Accounts Receivable Supervisor, the Accounts Receivable Administrator is responsible for client invoicing and accounts receivable support. The Accounts Receivable Administrator works as part of a collaborative team, interacting with various departments including Accounts Payable, Purchasing, Payroll, Project Controls, Operations and Engineering.

Essential DutiesResponsibilities

HealthSafety

  • Follow all company health and safety policies and regulations
  • Identify and report hazards or infractions to the HealthSafety Department

General DutiesResponsibilities

Contract Billing

  • Review and reconcile client-specific contract invoicing details (labour, equipment, materials, etc.)
  • Prepare accurate client invoices in alignment with contract terms
  • Gather billing information from multiple sources and verify completeness
  • Maintain organized documentation including purchase orders, service agreements, contracts, change orders
  • Collaborate with the Project Controls team to ensure clarity and consistency in billing
  • Reconcile project costs against invoiced amounts and follow up on discrepancies
  • Circulate invoices for internal review and approvals
  • Investigate and respond to client invoicing inquires
  • Support additional billing-related tasks as needed

Accounts Receivable and Collection

  • Monitor accounts receivable aging and follow up on outstanding balances
  • Record daily cash receipts
  • Reconcile month-end accounts receivable balances to the general ledger
  • Assist with financial audits and provide required documentation

Travel Requirements

  • This position does not typically require travel

Supervisory Responsibilities

  • None

Education and Experience

  • Diploma in Business Administration, Accounting or a related field
  • Experience in accounts receivable and contract billing environment
  • Strong understanding of the full accounting cycle and accounting principles
  • Knowledge of contracts and contract administration (asset)
  • Proficiency with Microsoft Office, especially Excel
  • Experience in the mining industry (asset)

  • Highly organized with excellent problem-solving abilities
  • Able to prioritize tasks and meet deadlines in a fast-paced environment

  • Ability to handle confidential information with professionalism
  • Proficient in Adobe Acrobat and comfortable working in a paperless environment
