The Receptionist / Administrative Assistant serves as the central point of contact for employees, visitors, and vendors—ensuring a professional, welcoming, and efficient office environment. This role is essential in supporting smooth daily operations while fostering a positive and inclusive workplace culture.
Reporting to: Senior Manager, Administration
Essential Duties & Key Responsibilities
- Serve as the first point of contact for visitors, staff and partners – welcoming guests, answering inquiries and providing guidance in a professional friendly manner.
- Manage incoming phone calls through a multi-line system; route and or resolve inquiries with efficiency and care.
- Act as liaison with vendors, service providers and building management.
- Coordinate deliveries, building access and maintenance needs while maintaining security and confidentiality.
- Maintain appropriate confidentiality of staff, contacts, and office information; escalate office security concerns to Manager or local senior management as appropriate.
- Escalate competing priorities for supervisor’s input and follow through on commitments as appropriate.
- Maintain organized and well-stocked office spaces, including reception, breakrooms, kitchens, and meeting rooms.
- Organizing and coordinating office events, meetings and travel arrangements.
- Operate office equipment and computer applications to support administrative requests.
- Provide general administrative support including scheduling, supply management and responding to staff requests.
- Key member of social committee.
- Work closely with team members to ensure smooth office operations and foster a positive, inclusive workplace environment.
- Embrace company culture, values, and Diversity, Equity, & Inclusion (DE&I) activities.
- Assist with other activities, duties, and responsibilities as assigned.
Skills & Knowledge

Computer knowledge and demonstrated accuracy with spreadsheets, databases and word processing software as well as the ability to perform basic internet and intranet functions.

The ability to communicate clearly, both verbally and in written is essential.

The desire and ability to continually upgrade skills and abilities is required.

The receptionist must be friendly, personable, and approachable, since much of the work involves close contact and communication with clients, customers and prospective employees.

Qualifications
- High School diploma or GED and minimum of 2 year of administrative, clerical, or customer service experience or in office setting or service industry or equivalent combination of education and/or experience
- Approachable and customer service-oriented with proactive, positive, and professional attitude
- Professional phone skills with clear verbal and non-verbal communication skills
- Experience answering multi-line phone systems, preferred
- Good judgment and ability to complete requests in time sensitive environment
- Active listening skills and timely follow-up practices
- Attention to detail and organizational skills
- Work with management oversight
- Office administration skills
- Basic computer navigation skills, data entry skills, familiar with Microsoft Office suite of applications, and familiar with general office equipment
