About the role

Summary:

TheAccounting Assistantprovides transactional and administrative support to the finance team during a period of process improvement and system transition.

This role focuses on supporting day-to-day accounting operations, maintaining data accuracy, and assisting with documentation and cleanup activities. The position does not own accounting functions and works under the guidance of the Assistant Controller.

Job Duties:

  • Accounts Payable Support

    Enter and code vendor invoices accurately

    Match invoices to purchase orders and supporting documents

    Assist with payment preparation and tracking

    Follow up on missing or incomplete documentation

  • Accounts Receivable Support

    Assist with cash application and basic receivable tracking

    Support customer account reconciliations (templates provided)

    Maintain organized records of payments and supporting documents

  • Data Entry & Record Maintenance

    Maintain organized digital filing (SharePoint – required standard)

    Ensure all supporting documentation is complete and properly saved

    Assist with data cleanup and migration activities (e.g., Business Central rollout)

  • Month-End Support

    Assist with preparation of schedules and working papers

    Support basic account reconciliations

    Prepare simple journal entries under supervision

  • Operational & Administrative Support

    Assist with inventory-related data entry

    Support Shopify / POS invoice processing

    Assist with StatsCan and other administrative reporting

    Support charity bookkeeping (QuickBooks) as required

  • Process & Documentation Support

    Follow established procedures, forms, and checklists

    Assist in documenting updated processes

    Identify and flag discrepancies, missing information, or process gaps

  • Other duties as assigned.

Requirements:

  • Bachelor's degree or diploma in Accounting, Finance, or Business Administration (Commerce), or working towards completion.
  • Basic knowledge of accounting principles and practices.
  • Effective attention to detail and a high degree of accuracy.
  • Strong work ethic and positive team attitude.
  • Excellent communication skills, both verbal and written.
  • Strong willingness to learn in a changing environment.
  • Experience in gathering data, compiling the proper information, and preparing financial reports
  • Able to perform basic account reconciliations.
  • Exposure to accounting systems (Navision, Business Central, Quick Books), budgets, and internal controls an asset
  • Excellent teamwork and team building skills.
  • High level of proficiency with Microsoft Office productivity suite – Comfortable in Excel (i.e., sorting, filtering, basic formulas; creating and using pivot tables, v-lookup, advanced data manipulation an asset).
  • Retail, POS, or inventory-related experience an asset.
