The opportunity: Reporting to the Sr. Portfolio Manager, the Client Service & Portfolio Operations Associate, supports the delivery of personalized financial planning and relationship management for a growing client base. This role complements the lead advisor by handling financial plans, engaging clients in meaningful conversations about their goals, and guiding them through investment and planning decisions. The Client Service & Portfolio Operations Associate will build strong relationships, provide exceptional care, and develop expertise in advanced wealth planning over time.
Key responsibilities include:

Fund Management
-
Cash Management, initiate and monitor EFT’s in and out (deposits, withdrawals, internal/external transfers, RIF/LIF payments).

Perform dual controls where required; verify client authorization and banking details; confirm settlement dates and cut-off times.
-
Status and reconciliation, Track EFT status to completion; resolve exceptions (NSF, rejects).
-
Monitor account-level and household-level cash balances; proactively cover debits by raising cash or transferring from linked accounts.

Follow playbook – ex) Available cash -> interest-bearing sleeve -> lowest tax impact asset sale.

Portfolio Manager Support
-
Rebalance accounts to approved models on Genesis as per IPS and household drift thresholds.

Assist PM to maintain pre/post-trade documentation and review advisor connect tickets and adjust portfolios or discuss with assigned team member the HH how to best bring the account/ portfolio onside.

Monthly reporting to clients as required.

Generate and Submit trades; monitor fills; resolve rejects; confirm allocations match target weights (once Licensed).

Relationship Management
-
Serve as a trusted resource for clients, offering guidance on evolving financial needs.
-
Work closely with the lead advisor to complement existing and new relationships.
-
Ensure seamless communication and coordination within the team.
-
Business Development
-
Proactively identify opportunities to grow the client base.
-
Assist in onboarding new clients and ensuring a smooth transition into the firm’s services.
-
Support initiatives to deepen relationships and enhance client experience.
-
Meet with clients to understand their financial goals, risk tolerance, and investment preferences. Provide personalized investment advice and recommend suitable products and strategies to help clients achieve their objectives.

Support the Team on Client Administration and Operations as needed
-
Maintain and update client files, CRM data, and account documentation with accuracy and confidentiality.
-
Prepare reports, investment summaries, and meeting materials for advisors.
-
Handle scheduling, follow-ups, and general correspondence with professionalism.
-
Prepare and submit new account applications; collect KYC/AML documentation; validate completeness; liaise with compliance/operations for approvals.
-
Process address changes, beneficiary updates, trusted contact updates, and name changes; confirm identity and retain proof as per policy; update CRM and custodial systems.

Maintain accurate digital client files; adhere to retention policies; log activities and communications in CRM (Wealth box - notes/tasks).
The ideal candidate will possess:
- A bachelor's degree in business administration, accounting, finance or related field, or equivalent work experience.
- 1-3 years’ financial services industry experience working in a high growth environment.
- 3+ years’ experience in a customer/client-service facing role.
- Equivalent combination of education and experience may be considered.
- Experience in wealth management or other regulated industry is a strong asset.
- Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
- CRM/Wealth Box.
- E-Sign/ E-forms.
- Valid CSC/CPH or Canadian Investment Regulatory Exam (CIRE) is considered an asset.
- If not licensed will obtain license upon employment.
- A commitment to fulfilling Continuing Education (CE) requirements.
- Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.
- Proven ability to take initiative and work independently; a self-starter who thrives in dynamic environments.
- Commitment to ethical conduct and integrity in all client interactions.
- Excellent attitude and commitment to providing extraordinary service.

Compensation & Benefits: Range $50,000 - $60,000 annually.
This range represents Wellington-Altus' expected range of compensation for this position. Actual compensation will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Compensation for part-time roles will be pro-rated based on number of hours regularly worked.
Wellington-Altus' total compensation package for employees may also include discretionary bonuses as well as other perks and rewards.
