Overview of the role
Saputo Inc. is seeking an individual to fill the position of Executive Assistant as part of an existing opportunity within the organization. Reporting to the Chief Financial Officer (CFO), this role plays a key part in providing strategic, administrative, and organizational support across Saputo’s Finance, Corporate, and Administrative departments.
In addition to proactively managing executive activities, the incumbent contributes to the smooth day‑to‑day operations of the corporate head office and provides ongoing support to the CFO’s extended leadership team
How you will make contributions that matter:
Executive support to the CFO and extended team
- Proactively manage the CFO’s and their team’s calendars, including meeting scheduling, prioritization of commitments, and coordination with internal and external stakeholders.
- Organize internal (SLT, Board, etc.) and external meetings, including room reservations and logistical preparation.
- Ensure the smooth execution of meetings (coffee service, meal orders, technology testing, etc.).
- Provide administrative support to the various teams under the CFO’s responsibility.
- Prepare, review, and format documents (presentations, executive briefings, agendas, etc.).
- Manage communications (emails, calls, correspondence) with discretion, professionalism, and confidentiality.
- Coordinate travel arrangements (transportation, accommodations, itineraries).
- Act as an administrative point of contact with internal teams and selected external partners (e.g., suppliers, professional firms), as required.
- Contribute to the administrative tracking of certain expenses under the Finance function.
- Maintain efficient filing systems, primarily electronic, for financial and administrative documents.
Office management
- Contribute to the smooth operation of the office, including supplies management, ordering, and relationships with vendors and business partners.
- Replace the receptionist and office manager during absences due to vacation, illness, or other reasons.
- Manage logistical needs related to workspaces and meeting rooms.
- Support the organization of internal events related to office life.
- Apply and ensure compliance with administrative procedures and office best practices.
You are best suited for the role if you have the following qualifications:
- Diploma in administration, secretarial studies, office administration (or equivalent experience).
- Minimum of 5 to 7 years of relevant experience, including support to a senior executive and their team, ideally in a corporate environment.
- Strong organizational skills and ability to manage multiple priorities simultaneously.
- Very high level of discretion, confidentiality, judgment, and rigor.
- Excellent written and verbal communication skills in French and English;
- Proficiency with Microsoft 365 tools (Outlook, Word, Excel, PowerPoint, Teams, Copilot).
- Strong attention to detail and commitment to data accuracy.
- Autonomy, initiative, and a solution‑oriented mindset.
- Collaborative attitude and strong customer service orientation.
As part of their duties, the position holder will be required to communicate and collaborate in English and French, both orally and in writing, with colleagues or other stakeholders located in Québec, elsewhere in Canada, or across North America.

Salary: $68,630 to $90,080
- Salary offers will vary commensurate with experience, education, skills, and training.
