About this Role
We are looking for a detail-oriented and highly organized Administrative Coordinator to join our dealership team. This role supports key fleet operational functions at our Roy Foss Woodbridge dealership.
Primary Job Responsibilities Include

Prepare, manage, and distribute vehicle licensing documents.

Ensuring all forms are accurately completed, signed, and submitted in a timely manner.

Process eligible manufacturer rebates and handle applications for Extended Payment Plans (EPP) or Dealer Payment Plans (DPP) through the DCS system.

Coordinate logistics for vehicle deliveries and outbound shipping, maintaining communication with transport providers.

Oversee the vehicle ordering process, ensuring alignment with operational needs and vendor guidelines.

Manage fleet inventory, ensuring accurate tracking and availability of vehicles.

Oversee accounts receivable, including tracking outstanding balances and sending payment reminders to customers.
What we're looking for:

Minimum of 3 years of experience in administrative roles

Proficiency in Microsoft Office, with strong skills in Excel

Previous automotive industry experience is considered an asset

A valid G-class Ontario driver’s license is an asset

Exceptional attention to detail and a high degree of accuracy in data entry and management

Strong communication and interpersonal skills, with the ability to work collaboratively across departments and with external stakeholders

Excellent organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment
