About the Role
This position will report directly to the Director of Property Management while working closely with the Property Management team.
We are seeking a multi-talented, client-facing, tech-savvy individual with excellent communication skills, a strong work ethic, and the ability to balance both independent and team-based responsibilities.
This role is based in our new Surrey office, which will soon become a fully operational brokerage office open to the public. Key Responsibilities
Client Services & Reception
- Be the face of Prompton by providing a warm, professional, and well-informed customer experience to all walk-in traffic.
- Greet, welcome, and direct visitors, ensuring the office is always presentable.
- Respond to general inquiries and liaise with Property Managers to provide property-specific information.
- Build strong relationships with clients, contractors, and community stakeholders.
- Monitor and respond to online channels (website chat, social media, Google reviews, etc.) to maintain a positive online presence.
Property Management & Leasing Support
- Support Property Managers with the launch of a new residential tower, including assisting with leasing activities and prospective tenant inquiries.
- Assess rental applications for completeness and assign to the appropriate Property Managers.
- Prepare feature sheets and marketing materials provided by the marketing team for prospective tenants.
- Review and assign tasks within Buildium (Property Management Software).
- Track and report warranty items to condo developers.
- Ensure vendor accounts are up to date and contractors have current insurance before being dispatched.
- Manage office keys, including coding and secure storage.
Administrative Support
- Perform general administrative duties including filing, managing spreadsheets, answering calls, and relaying messages.
- Collaborate daily with the property management, accounting, and executive teams via email and MS Teams.
- Assist with community events and corporate social responsibility initiatives.
Qualifications
- Tech-savvy with advanced proficiency in Microsoft Office (Excel, Word, Outlook) and the ability to learn new software quickly.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients, tenants, and team members.
- Ability to thrive in a fast-paced environment while managing multiple priorities.
- Proactive, self-motivated, and committed to delivering outstanding customer service.
- Familiarity with Buildium or other property management software (or willingness to learn).
- Previous experience in administration, IT support, systems administration, or property management is an asset.
- Previous experience in Marketing, PR, or Communications is an asset.
