Position Details: The Specialty Collections Associate is responsible for executing critical back-office functions that support the integrity and performance of Collections Operations. This role ensures the accurate management of insolvency files, charge-off preparation, late-booking and missed-payment corrections, credit bureau dispute resolution, and comprehensive account scrubbing. The Associate plays a key role in safeguarding compliance, enhancing customer data accuracy, strengthening recovery outcomes, and supporting operational decision-making across the Collections, Risk, and Vendor Management teams.
Duties and Responsibilities:
- Support the management of all accounts under bankruptcy by coordinating closely with the assigned vendor, ensuring that each file progresses in accordance with legal requirements and internal expectations. Monitor trustee communications, track and follow up on dividend payments, validate supporting documents, and ensure all relevant insolvency statuses are accurately reflected in internal systems.
- Assist with the charge-off preparation process by ensuring that all accounts nearing 120+ days of delinquency have undergone thorough and documented contact attempts, collection strategies, and remediation efforts. Partner with the Risk team to verify charge-off eligibility and calculate approved balances. Prepare eligible files to perform account charge off at month end.
- Review and action late-booked contracts and missed first-payment scenarios to ensure payment schedules and account statuses are accurate. Process one-time PAD transactions to correct misaligned payment histories, validate data accuracy, and ensure each account is fully synchronized across internal systems.
- Ensure reception of monthly invoices from all vendors and secure electronic storage of all invoices. Analyze invoices and validate charges before submitting for approval. Reconcile differences with vendors and reconcile payments made by HCCA Finance vs PO budget per vendor. Collaborate with Recovery Manager when preparing annual expense budget for vendors.
- Investigate and resolve credit bureau disputes by conducting detailed account reviews, validating customer information, and implementing corrections. Prepare responses to consumer inquiries and regulatory complaints including cases escalated through the Better Business Bureau (BBB).
- Manage the thru-billing process adding any necessary miscellaneous charges to customers’ accounts. Process all waivers of fees in customers’ accounts. Create all payment deferral confirmation letters.
Qualifications
- Has worked for an automotive financial captive company and understands the operations of leases and loans.
- Has worked for insurance companies or has been involved on insurance claims processes.
- Has been involved with operations related to repossession of vehicles.
Education & Certification:
- College degree ideal but not a must.
- High school degree must.
Knowledge, Skills & Abilities:
- Is an advanced user of the LOS and V8 systems.
- Understands the generalities of auto lease agreements and conditional sales contracts and is able to refer to specific sections that are related to the day-to-day operations of the role.
- Is a subject matter expert in lease and loan operations in a captive company.
- Is capable to work through situations that have no defined process and find a proper solution that satisfies the requirements.
- Is able to prioritize responsibilities to manage all tasks in an efficient way which prevents them from becoming urgent.
- Requires little supervision to execute all responsibilities including multitasking in order to deliver on time and with the required level of detail and accuracy.
- Is able to transfer knowledge in an easy and effective way allowing team members to understand what is expected from them and how they can continue growing.
- Has the ability to build bridges across the different teams in the company paving the way for a two-way collaboration.
- Works hard to understand and develop the highest possible level of emotional intelligence being able to keep emotions aside.
- Is able to manage conflict and build strong relationships with all team members alike.
