Primary Purpose of Position:

Priestly Demolition is seeking a highly organized, professional, and proactive Executive Assistant to support our Owner and Executive Leadership Team. This role is critical to enabling executive effectiveness by managing complex calendars, coordinating travel, preparing executive-level materials, and ensuring meetings and initiatives are executed seamlessly.

The Executive Assistant acts as a trusted partner to the executive team, exercising sound judgment, discretion, and confidentiality while supporting both strategic priorities and day-to-day operations.

Job Duties

  • Proactively manage complex and competing calendars for four executives (President & CEO, Owner, CFO, COO)
  • Anticipate scheduling conflicts, prioritize requests, and independently resolve issues
  • Ensure executives are fully prepared with agendas, briefing materials, and relevant background information
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries
  • Support monthly Executive Team meetings by:
    • Preparing agendas and presentation templates
    • Coordinating pre-read materials and submissions
    • Taking accurate, concise, and professional meeting minutes
    • Tracking action items and ensuring timely follow-up
  • Prepare, format, and edit executive-level presentations, reports, and briefing materials
  • Act as a key point of contact between executives and internal/external stakeholders
  • Draft and manage executive correspondence as required
  • Handle highly confidential and sensitive information with professionalism and discretion
  • Support expense reporting, approvals, and tracking
  • Assist with special projects and ad-hoc executive requests
  • Support a professional, executive-ready office environment, including coordination of supplies and shared amenities
  • Partner with the VP, Marketing & Communications to assist with: inventory tracking, corporate swag and organization
  • Coordinate with internal teams and vendors to support office-related needs and minor operational issues
  • Responsible for additional ad hoc personal support as needed

Position Requirements

Minimum 5+ years of experience supporting senior executives or executive leadership teams
Proven experience managing complex calendars and coordinating executive travel
Demonstrated experience preparing executive-level presentations and meeting materials
Experience taking and distributing formal meeting minutes
Post-secondary education in Business Administration or a related field is preferred
Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel)

  • Experience working with virtual meeting platforms (Teams, Zoom)
