Job Description The Opportunity: Our Energy subsector, a key component of WSP’s ERI (Energy, Resources and Industry) sector, supports clients from coast to coast. From small installations to multi-phase integrated megaprojects, we support your upstream, midstream, or downstream oil and gas activities and energy transition markets at all stages of the project lifecycle, anywhere in the world. We are focused on providing design, engineering and environmental services that contribute to climate adaptation and mitigation, sustain the use and protection of water and marine resources, protect and restore biodiversity, and support our clients as they transition to low carbon solutions. To meet our growth challenges, WSP is currently seeking a Project Coordinator to join our teams located in our Calgary, Alberta office.
The Project Coordinator supports project planning and execution across multiple initiatives, ensuring that timelines, budgets, and deliverables are met. This role involves close collaboration with project managers, stakeholders, and cross-functional teams to track progress, manage documentation, and facilitate communication. This position will perform a wide range of responsibilities varying in nature and urgency while providing organizational support in many areas. As a member of the Energy group, you will be given opportunities to apply your education and experience on complex projects. You will be challenged to manage multiple priorities, meet tight deadlines, and maintain very high quality. WeAreWSP What you can expect to do here:
- Assist in the development and maintenance of project plans, schedules, and budgets.
- Coordinate meetings, prepare agendas, and document minutes and action items.
- Monitor project progress and update stakeholders on status and potential risks.
- Maintain project documentation, including contracts, reports, and change orders.
- Preparing and issuing project documents as required
- Support resource allocation and track project expenditures.
- Ensure compliance with company policies and procedures.
- Facilitate communication between internal teams and external vendors or clients.
- Identify and help resolve project issues and bottlenecks.
- Expedite project deliverables; primarily documents including reports, drawings, packages, etc.
- Use appropriate tools and templates to help maintain assigned reports and/or spreadsheets
- Assisting Project Managers with all aspects of Project Management and Construction Management activities as required
- Minute taking during weekly Project Reviews or other meetings as required
- Ad hoc typing or spreadsheet creation/maintenance for project teams
- Assisting other members of the administrative department when required based on workload – schedule permitting
What you’ll bring to WSP:
- Degree, diploma, or certificate in administration or other applicable areas.
- 3-5 years previous coordination or administration experience.
- Previous experience in an EPCM environment in the energy industry is an asset.
- Highly proficient in MS Office including training with vendor and database software.
- Excellent communication and documentation skills with excellent interpersonal skills. Conscientious worker, who can work independently or in a team setting with minimal supervision.
- Strong organizational skills and the aptitude to prioritize and organize workload.
- PMP or CAPM certification is an asset.
- Familiarity with Agile or other project management methodologies is an asset
- Able to communicate, understand, express and apply basic technical, business or administrative concepts.
- Superior organizational and time-management skills; ability to meet deadlines.
- Decision and problem-solving ability.
- Proven ability to multi-task and efficiently respond to changing priorities.
- Accepts coaching, knowledge and support from more experienced staff.
