Salary: $22.00
Hours: 35 hours per week, 8:30am – 4:30pm

The Opportunity
We are seeking a passionate and committed Receptionist/Administration Assistant to join our innovative team and make a meaningful difference in our community.
In this role, you will
Provide frontline reception and administrative support to ensure smooth office operations and excellent client service.
What You’ll Do

Answer telephone effectively and politely
-
Perform word processing as requested
-
Help accountant with coding of invoices, expenses and mileage.

Manage files and filing
-
Maintain various supplier accounts
-
Sort and distribute incoming and posts outgoing mail daily
-
Orders and format brochures and business cards, and manages inventory
-
Ensure office supplies are ordered and kept adequately stocked
-
Produce staff newsletter
-
Distribute harm reduction supplies
-
Interact with a variety of clients some of who are homeless, using substances, and/or suffering from a mental illness
-
Assist staff with various projects as required
-
Perform other tasks as required
What We Are Looking For
-
Post-secondary education or training in office procedures such as a certificate/ diploma from a secretarial/computer technology school or community college
-
One to two years experience working in an office environment, with responsibility for reception, word processing and basic accounting procedures
-
Experience working in a busy social service setting, multitasking as required
Technical Competencies
-
Proficient in Microsoft Word, Outlook, Excel, Access, and Publisher
-
Knowledge of ACCPAC for Windows is an asset
-
Knowledge of accounting procedures is an asset
-
Strong ability to perform word processing and general office administration
-
Filing and managing documentation systems
-
Coding of invoices, expenses, and mileage
-
Ordering and formatting printed materials; managing inventory
-
Producing internal communications (e.g., newsletters)
-
Familiarity with NVCI methods
Soft Skills
-
Excellent written and verbal communication skills
-
Excellent interpersonal skills
-
Clear understanding of and adherence to professional boundaries
-
Strong organizational and time management abilities.

Mentally resilient and able to handle challenges when working with marginalized populations
-
Physically able to lift boxes up to 20 lbs.

Effective multitasking abilities at a busy front desk
Required:

3 Professional references from supervisors

Criminal record check
-
Valid First Aid Certificate (OFA1 or equivalent)
