As the Operations Coordinator, Campus Management, you’ll be at the heart of our campus operations—driving the successful execution of strategic plans, projects, and initiatives that shape the future of our institution. Reporting directly to the Director, you’ll play a pivotal role in coordinating activities across Facilities, Logistics, and Capital Projects, ensuring everything from scheduling to procurement runs like clockwork.

You’ll manage technical, financial, and project-related tasks, develop streamlined procedures, and support decision-making with insightful reporting and metrics. Your work will directly contribute to the success of our campus operations and the experience of our students, staff, and faculty.

Position Responsibilities

Operations Coordination and Support

  • Coordinate and prioritize campus operations across logistics, facilities, and capital projects.
  • Support strategic planning, budgeting, and reporting cycles.
  • Streamline workflows and enhance operational efficiency through process improvements.
  • Provide informed recommendations and briefings to leadership.
  • Ensure consistent application of policies and procedures across all activities.
  • Collaborate with internal teams and external partners to drive key initiatives.
  • Manage communications strategies in partnership with divisional teams.
  • Promote a safe, compliant, and healthy work environment.
  • Oversee workspace planning, AutoCAD updates, and campus mapping.
  • Prepare reports, presentations, and project documentation aligned with PMO standards.

Project Management Support & Planning

  • Ensure project milestones are met on time, within scope and budget.
  • Maintain accurate documentation and records in alignment with Campus Management protocols.
  • Support budget development, forecasting, and financial reporting for projects.
  • Coordinate updates to building plans, engineering drawings, and campus maps.
  • Manage purchase requisitions and liaise with Finance for tracking and follow-up.
  • Collaborate with project teams from planning through completion and assessment.
  • Mentor stakeholders on RDP processes and practices.
  • Organize meeting logistics and conduct research to support informed discussions.
  • Prepare and present reports, cost estimates, and financial summaries for grants and capital projects.
  • Support VFA analysis and contribute to LEAD and FPAC processes.

Human Resources Coordination

  • Coordinate hiring, onboarding, and the full employee lifecycle in collaboration with Logistics and Facilities.

  • Ensure contracts and job postings align with collective agreements and institutional policies.

  • Maintain confidentiality and uphold FOIP standards.

  • Support performance enhancement processes and exit procedures.

  • Manage office space assignments and operationalize HR policies in partnership with People & Culture.

Required Qualifications

  • 4 year degree in Business Administration, Project Administration, Facilities Management or related such as Legal Assistant.

  • Ability to champion and lead change; a proactive, collaborative, results-orientated style

  • Ability to work in a dynamic, ever-changing, fast-paced environment with multiple demands, competing priorities and numerous deadlines

  • Ability to use and interpret complex data to accurately advise and inform decision makers

  • Strong analytical skills, ability to think outside the box, and apply creative solutions to issues presented

  • Able to advance multiple operational initiatives and decision points within established timeframes and budgets

  • Excellent interpersonal, relationship building, and conflict resolution skills

  • Previous relevant experience working with an executive office team (senior administrators) ensuring confidentiality, integrity, diplomacy, professionalism, and tact at all times

  • Effective organizational, time management, and planning skills

  • Excellent oral, written, and technical skills

  • Proven ability to determine priorities, be self-directed, and work with minimal supervision

  • Knowledge and awareness of the operation of a post-secondary institution is preferred

  • Project management experience is desired
