About the role

We are currently seeking a reliable and detail-oriented Parts Administrator / Detailer to join our team. This role is responsible for managing and organizing parts inventory, supporting technicians with parts needs, and ensuring vehicles are properly cleaned, prepared, and inspected throughout the repair process.

The ideal candidate is organized, proactive, and able to work efficiently in a fast-paced environment while maintaining a high level of quality and customer service.

Key Responsibilities

Customer Service

  • Provide excellent internal and external customer service.

  • Respond to technician and staff inquiries regarding parts availability and orders.

  • Maintain strong working relationships with vendors and parts suppliers.

  • Answer and direct phone calls and inquiries in a polite, courteous, and professional manner.

Parts Administration

  • Act as the main point of contact for all parts-related processes.

  • Receive incoming parts, inspect for accuracy and quality, and organize inventory.

  • Locate and match parts using the parts locating system, including lifting and moving parts as required.

  • Follow up on credits, back orders, and outstanding parts with dealers and suppliers.

  • Coordinate replacement orders for damaged or incorrect parts received from vendors.

  • Source and compare pricing when ordering parts from suppliers.

  • Support technicians by ensuring required parts are available for scheduled repairs.

  • Prepare and organize parts carts according to the Repair Planning process to meet the production schedule.

Vehicle Detailing & Preparation

  • Ensure vehicles are pre-washed and pre-scanned prior to repairs.

  • Clean interior and exterior of vehicles according to company standards.

  • Remove tape, masking, and materials after completion of paint work.

  • Inspect vehicles after painting to ensure repair and refinish quality.

  • Remove overspray and perform polishing and buffing as required.

  • Install trim and cosmetic components related to this department.

Inventory & Quality Control

  • Maintain an organized and efficient parts storage area.

  • Inspect parts upon delivery to ensure quality and accuracy.

  • Report discrepancies or damaged parts promptly.

Quality Assurance

  • Maintain a high standard of quality in all completed work.

  • Report any discrepancies, missed damage, hazardous conditions, or other concerns to the Production Manager prior to vehicle delivery.

  • Ensure all work is completed efficiently using proper repair methods.

Qualifications

  • Strong organizational and multitasking skills.
  • Ability to work in a fast-paced environment.
  • Strong attention to detail and commitment to quality.
  • Ability to lift and move parts when required.
  • Excellent communication and customer service skills.
  • Automotive or collision repair experience is considered an asset.
