Position Overview

Reporting to the Payroll Manager and working closely with the VP, Human Resources, the Payroll and Human Resources Coordinator is responsible for delivering a broad range of Payroll and HR support services. This role is responsible for approving daily timecards and running a bi-weekly payroll. It also plays a key part in recruitment, employee relations, policy development, training and development, and health and safety compliance, while ensuring operational excellence and regulatory adherence.

Key Responsibilities

Payroll

  • Approve hourly timecards daily
  • Liaisons with payroll on compensation changes
  • Support payroll department on an ad hoc basis
  • Administer and interpret provincial and federal payroll regulations
  • Answer questions and inquiries pertaining to the payroll regulations and the company’s policies and procedures for payroll
  • Assist with year-end reporting
  • Serve as the backup for others in the HR and Payroll team
  • Liaise with Payroll regarding compensation changes and employee updates
  • Provide ad hoc support to the Payroll department as needed
  • Act as backup support for other members of the HR and Payroll team

Recruitment & Onboarding

  • Maintain and update employee job descriptions to ensure accuracy and alignment with business needs
  • Develop compelling job postings to attract qualified candidates
  • Manage the full-cycle recruitment process, including posting positions, screening applicants, conducting interviews, and shortlisting candidates
  • Conduct reference checks and criminal background checks, and prepare employment offers
  • Ensure all required certifications and training are completed prior to employee start dates
  • Facilitate new hire orientation and onboarding processes
  • Conduct and document regular check-ins with new employees to support engagement and retention

Employee Relations & Performance Management

  • Support managers in the administration of bi-annual performance reviews
  • Participate in incident investigations as required
  • Serve as a primary point of contact for employee inquiries and concerns, providing guidance and support
  • Coordinate employee offboarding processes
  • Ensure final documentation, system access removal, and compliance steps are completed

Policy & Compliance

  • Research industry best practices and update policies and procedures accordingly
  • Ensure organizational policies comply with applicable federal and provincial legislation
  • Communicate policies clearly and provide training and guidance to staff on policy interpretation

Training & Development

  • Stay current on trends, tools, and best practices in employee training and development
  • Maintain accurate learning and development records and generate reports to support workforce planning
  • Collaborate with department managers to coordinate required and renewal-based training
  • Support the development and administration of company-specific training programs (e.g., internal learning initiatives)
  • Administer and manage training subsidy programs

Health & Safety

  • Promote and uphold company health and safety standards
  • Ensure adherence to safety policies, procedures, and required use of personal protective equipment (PPE)
  • Maintain safe and organized work environments
  • Demonstrate a strong understanding of safety protocols and regulatory requirements

Qualifications

Education & Experience

  • Minimum of 2 years of experience in a Human Resources role
  • Minimum of 4 years of payroll experience
  • Post-secondary education in Human Resources (certificate or diploma required)
  • CPHR designation or candidacy considered an asset
  • Certified Payroll Compliance Professional is an asset

Knowledge, Skills & Abilities

  • Strong interpersonal skills with the ability to build effective relationships at all levels of the organization
  • Demonstrated ability to coach, mentor, and support leaders and employees
  • Working knowledge of applicable employment and workplace safety legislation
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills in English
  • Strong organizational skills with the ability to prioritize and manage multiple responsibilities
  • High level of discretion and ability to handle confidential information
  • Empathetic, proactive, and solutions-oriented approach
  • Experience in the restoration or construction industry considered an asset

Working Conditions

  • Monday to Friday, daytime hours (flexible start and end times)
  • Occasional overtime may be required
